Tasks
Executive Support:
- Proactively manage and optimize the calendars of the CEO, COO, and CTO, including scheduling meetings, resolving conflicts, and aligning across time zones.
- Organize and prepare agendas, presentations, and follow-up materials for leadership meetings.
- Handle email management, including drafting responses, prioritizing critical items, and ensuring timely follow-ups.
- Track and follow up on management team tasks, ensuring key deadlines and deliverables are met.
- Conduct research, analyze data, and prepare reports or summaries for decision-making.
- Assist in project coordination, helping to streamline communication and monitor progress.
- Act as a central point of contact for internal teams and external stakeholders, ensuring effective communication and coordination.
- Handle confidential information and maintain discretion in all communications.
- Plan and coordinate travel arrangements, including flights, accommodations, and itineraries for conferences and client meetings.
- Assist in organizing company events, meetings, or offsites, including logistics and scheduling.
- Assist with time logging and other internal procedures.
Qualifications:
- 3+ years of experience as an executive assistant, virtual assistant, or similar role supporting senior executives.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication skills in English.
- Proficiency with tools such as Google Workspace (Docs, Sheets, Calendar), Slack, and project management platforms (e.g., Jira, Confluence, Trello).
- High attention to detail, with the ability to prioritize tasks in a fast-paced environment.
- Ability to work independently, demonstrating initiative and sound judgment.
- Familiarity with the tech or software development industry.
- Experience supporting C-level executives in a remote or international context.
- Understanding of time zone management and global team coordination.
