About The Role

We are seeking a highly organized and proactive Virtual Assistant to join our team. In this role, you will provide essential administrative support to our engineering consultants and project managers, ensuring smooth project operations and effective communication across all levels of the organization. This position offers an excellent opportunity for candidates who are detail-oriented, self-motivated, and capable of managing multiple tasks in a fast-paced, remote work environment. The ideal candidate will possess strong communication skills, a keen eye for detail, and the ability to prioritize tasks effectively to support our company's operational efficiency and project success.

Qualifications

  • Bachelor’s degree in business administration, engineering, or a related field (preferred but not required)
  • Previous experience as a virtual assistant or in an administrative role is a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with project management software such as Asana or Trello
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage time effectively in a remote setting
  • Basic understanding of engineering concepts is advantageous

Responsibilities

  • Provide comprehensive administrative support, including scheduling meetings, managing calendars, and coordinating travel arrangements for the engineering team
  • Assist in preparing, formatting, and proofreading engineering reports, proposals, and presentations to ensure accuracy and professionalism
  • Support project managers in tracking project timelines, deliverables, and budgets, as well as managing project documentation and files
  • Handle incoming emails and phone calls, directing inquiries to appropriate team members and ensuring timely responses to clients and stakeholders
  • Conduct preliminary research on engineering topics, industry trends, and competitor analysis to support project development and business proposals
  • Maintain and update databases, project management tools, and other digital platforms to ensure data accuracy and accessibility
  • Organize and coordinate virtual meetings, including preparing agendas, taking minutes, and following up on action items
