The Transportation Manager plays a critical role in overseeing the operational health, safety, and compliance of our diverse driver and vehicle fleet population, which includes valet operations, shuttle services, regulated (CDL/Non-CDL) and other non-regulated drivers. The position ensures safe, efficient, and cost-effective fleet operations across multiple geographies, with a focus on regulatory compliance, performance tracking, and continuous improvement. While this role currently has no direct reports, it is designed to scale the business and may include leadership responsibilities in the future
Key Responsibilities
Fleet Operations
- Manage Fleet Procurement and Decommissioning processes, collaborating with vendors and internal teams.
- Manage fleet data management and system-based audits
- Develop maintenance and lifecycle replacement programs
- Operational reporting and executive level communication
- Support insurance renewals and risk coordination projects
- Participate in fleet finance discussion and fleet analytics
- Develop fleet tracking and oversee technology integration
- Lead and support safety and training programs
- Oversee Vehicle Maintenance & Safety, service schedules, recalls, and inspections are proactively addressed.
- Support and enforce Driver Safety Training and Compliance standards.
- Ensure adherence to Local, State, Provincial, and Federal Regulations affecting fleet and driver operations.
- Lead efforts to Monitor and Track Fleet Performance using JJ Keller, Enterprise Fleet, Jira, and other tools.
- Assist in Insurance and Claims Management, particularly for vehicular incidents and accidents.
- Manage Fuel and Expense Tracking to improve budgeting and reduce operating costs.
- Implement Sustainability Initiatives where applicable to fleet operations.
- Maintain oversight of Driver Performance Monitoring using telematics and behavioral analytics.
- Coordinate Vehicle Utilization and Optimization.
- Drive Technology Integration to enhance efficiency and reporting.
- Support the Accident Prevention Program and lead root cause investigations for incidents.
- Collaborate cross-functionally with HR, Operations, Safety, and Legal departments.
- Contribute to Fleet Expansion planning and New Business Development proposals, including RFP support.
- Manage Driver Qualification Files and ensure timely updates in JJ Keller.
- Act as JJ Keller Liaison, maintaining accurate data for audits, inspections, and compliance dashboards.
- Administer Drug & Alcohol Testing Program in accordance with DOT and FMCSA standards.
- Lead Driver Training and Education initiatives tailored to regulated and non-regulated drivers.
- Maintain meticulous DOT Record Keeping and audit readiness.
- Manage HAZCOM Program in regulated environments and ensure OSHA compliance.
- Coordinate Accident Reporting & Management, ensuring regulatory timelines are met.
- Oversee Licensing, Permits, and Registration for fleet assets across all operational locations.
- Execute MVR Monitoring & Auditing and work with leadership to manage any risk identified.
- Submit regular and ad-hoc DOT Reporting as needed.
- Drive a proactive Fleet Safety Program including regular site audits, coaching, and tracking.
- Communicate Regulatory Compliance Updates and educate field operations on policy changes.
- Build and maintain partnerships with Regulatory Agencies including FMCSA, OSHA, and local DOT authorities.
- Bachelor’s degree in Transportation, Logistics, Business, or related field preferred.
- Minimum 5 years of experience in transportation, fleet, or compliance management.
- Strong knowledge of FMCSA, DOT, OSHA, and HAZMAT requirements.
- Experience working in environments with both Union and Non-Union labor.
- Proficiency with JJ Keller, Enterprise Fleet, Jira, and fleet management software.
- Excellent problem-solving, organizational, and written/verbal communication skills.
- Ability to work cross-functionally and drive accountability without direct authority.
- Comfortable working in a fast-paced, growing environment and managing competing priorities.
- Availability for limited travel (<10%) for audits, site visits, and team support.
- Primarily office-based with occasional field visits.
- May evolve into a people management role as the business grows and expands geographically.
