The Opportunity: We're looking for a detail-oriented, client-focused Special Projects Coordinator to join our Client Services team. In this role, you'll be the main point of contact between our clients, editors, and internal teams, keeping Profile and Autosuggest campaigns on track from kickoff through completion. We're looking for someone who's highly organized, communicates clearly, and stays calm managing multiple moving parts.


What You'll Do:

  • Serve as the primary point of contact for assigned standalone Profile accounts, managing day-to-day communication between clients and their designated Profile Editors
  • Monitor active Profile campaigns and deliver timely updates to clients and account managers at every phase of the project
  • Coordinate with Profile Editors to ensure article drafts, edits, and submissions meet client expectations and platform guidelines
  • Manage assigned Autosuggest client accounts end-to-end — overseeing timelines, deliverables, and correspondence from kickoff through completion
  • Track Autosuggest campaign performance, compile progress reports for Account Managers, and verify reporting accuracy
  • Escalate client concerns to the Client Services Manager or ORM Leadership with full context and recommended next steps
  • Maintain accurate, up-to-date records in Zoho CRM and Asana, including task updates, client notes, and campaign milestones
  • Support the Client Services phone line and delegate coverage as directed
  • Suggest process improvements to increase efficiency and client satisfaction
  • Cross-train on additional Client Services functions to ensure continuity across the department


What You'll Bring:

  • 1–3 years of experience in client services, account coordination, or project management (reputation management, SEO, or digital marketing experience a plus)
  • Exceptional written and verbal communication skills
  • Strong organizational skills with the ability to juggle multiple accounts and deadlines
  • Proficiency with CRM and project management tools (Zoho and Asana experience preferred)
  • A proactive mindset — you spot issues early and bring solutions, not just problems
  • Comfort working cross-functionally with editors, account managers, and leadership

  • Strong client retention driven by responsive communication and reliable deliverables
  • Completion of onboarding training within the first 10 days and full ramp on our processes within 30 days
  • Monthly reporting that demonstrates the effectiveness of Profile and Autosuggest campaigns
