Role Summary
The Senior Project Manager (Senior PM) has ultimate responsibility for projects end-to-end, owning successful delivery from opportunity shaping and proposal development through execution, closure, and post-project follow-up. This is a highly client-facing role that combines strong project leadership with an active contribution to sales, client management, and relationship growth.
The Senior PM is a senior representative of Patvocates and will represent PV at external and internal events, client meetings, partner engagements, and other forums. The role also requires active cross-unit collaboration with PV’s NGO units and internal teams (Digital & Innovation, Communications, Events) to ensure integrated delivery and a consistent client experience. The Senior PM engages in ongoing training as required to maintain and expand relevant skills, tools, and best practices.

Key responsibilities:
1. End-to-End Project Leadership & Delivery
- Plan, manage, and deliver successful client projects end-to-end, ensuring outcomes meet agreed scope, quality standards, timelines, and budget.
- Lead and oversee all aspects of delivery, including (as relevant): content development, report writing and the development of deliverables, budgeting, coordination, moderation, facilitation, administration, and meeting logistics.
- Identify project risks, dependencies, and delivery constraints early; implement mitigation plans and escalate appropriately when needed.
- Ensure clear project governance, roles/responsibilities, decision-making paths, and documentation throughout the project lifecycle.
2. Sales Support, Proposals & Client Growth
- Identify potential sales opportunities for the business unit for current and potential clients.
- Develop, present, and pitch projects to clients, supporting business development and growth of existing accounts.
- Prepare proposals and project budgets, ensuring commercial viability and clear deliverables, assumptions, and timelines.
- Contribute to building trusted client relationships, identifying opportunities to expand or extend work where appropriate.
3. Milestone Management, Follow-Up & Accountability
- Monitor and ensure projects adhere to milestones and deadlines, and provide clear progress reporting.
- Follow up proactively on project- and team-related open actions, urgent priorities, and dependencies—ensuring owners are clear and follow-up happens.
- Maintain accurate project plans, status updates, and action logs; ensure consistent internal and external visibility of progress and next steps.
4. Client & Stakeholder Communication
- Coordinate and implement communication with clients, including preparing and sharing interim progress reports and updates to both the client and the Patvocates team.
- Monitor correspondence with clients, suppliers, external partners, and internal team members to ensure timely responses, clarity, and professionalism.
- Manage expectations actively, maintain alignment on deliverables and timelines, and address issues early and constructively.
5. Meetings, Workshops & Facilitation (Virtual and In-Person)
- Plan, prepare, and implement project meetings (virtual and face-to-face), including organisation of venues, travel, logistics, technology setup, and materials.
- Lead or support moderation/facilitation as required, ensuring meetings are productive, well-structured, and outcome-driven.
- Ensure meeting outputs are captured clearly (decisions, action items, owners, deadlines) and followed through.
6. Partner, Consultant & Supplier Coordination
- Coordinate, contract, and involve external partners, consultants, and suppliers as needed for successful delivery.
- Manage partner performance against deliverables, timelines, and quality expectations; ensure smooth integration into project plans and communications.
7. Budgeting, Invoicing & Financial Tracking
- Build and manage project budgets, tracking actuals against plan and maintaining commercial oversight.
- Supervise progress, track invoicing and payment schedules, and ensure timely coordination with internal finance processes and client contacts.
- Flag budget risks early and propose adjustments or solutions where needed.
9. Cross-Unit & Internal Collaboration
- Work cross-unit to support and deliver projects in close collaboration with Patvocates’ NGO units and internal teams including Digital & Innovation, Communications, and Events.
- Act as a central coordination point to ensure alignment on scope, timelines, resourcing, messaging/branding, tools/technology, and event logistics.
- Build strong internal relationships and ways of working that enable efficient handovers, shared delivery ownership, and a consistent client experience across teams.
10. Representation & Professional Conduct
- May represent Patvocates at external and internal events, including client sessions, conferences, workshops, and partner meetings.
- Uphold Patvocates’ standards for professionalism, confidentiality, inclusion, and high-quality client service in all interactions and outputs.
11. Training & Continuous Development
- Engage in ongoing training as required, including tools, facilitation methods, project management practices, patient engagement topics, compliance requirements, and evolving client/service needs.
- Stay current on relevant developments in patient engagement, stakeholder collaboration, and project delivery best practices.

- Demonstrated senior-level experience delivering complex, multi-stakeholder projects end-to-end (agency, consultancy, healthcare, NGO, or comparable environment).
- Strong capability in proposal development, budgeting, and client-facing presentations/pitches.
- Excellent planning, organisation, and follow-through; able to manage multiple workstreams without losing detail.
- Strong facilitation and stakeholder management skills, including confident communication with senior client contacts.
- Experience coordinating external partners/suppliers and managing deliverables and contracts.
- High level of written English, including producing client-ready materials (e.g., reports, summaries, proposals).
