About the Role
I'm an executive coach, keynote speaker, author, and social media creator, and I'm looking for a Senior Executive Assistant to be my right hand across every dimension of the business. This isn't a traditional corporate EA role — it's a dynamic, high-ownership position for someone who thrives in a fast-moving, multi-channel environment and can anticipate needs before they're voiced.
You'll manage the operations that keep the business running smoothly so I can stay focused on coaching clients, creating content, speaking, and writing. You'll own my calendar, communications, and backend systems — and play an active role in keeping projects on track.

What You'll Do
Executive Support
- Own and manage my calendar end-to-end: scheduling, prioritization, and protecting focused work time
- Manage email inbox: triage, draft responses, flag urgent items, and handle routine correspondence
- Coordinate all travel: flights, hotels, ground transportation, and itinerary management for speaking engagements, retreats, and business trips
- Prepare agendas, briefing docs, and follow-up materials for meetings
Operations & Project Management
- Manage and maintain project workflows in Asana, ensuring deadlines are met and nothing falls through the cracks
- Support CRM and automation workflows in GoHighLevel (client onboarding, follow-up sequences, pipeline management)
- Manage contracts: track agreements with clients, speaking venues, and collaborators; flag renewals, deadlines, and signature needs
- Handle client invoicing: generate and send invoices, track payment status, and follow up on outstanding balances
- Coordinate with subcontractors and vendors: assign work, track deliverables, manage communications, and ensure nothing falls through the cracks
- Identify operational inefficiencies and propose improvements
Content & Communications Support
- Assist with coordination across social media, book projects, course launches, and speaking engagements
- Manage post scheduling, repurposing tasks, and content calendar logistics as needed
- Draft, proofread, and edit written communications, proposals, and client-facing materials
What You Bring
- 6+ years of experience as an Executive Assistant, ideally supporting a solo executive, entrepreneur, or public-facing personality
- Fluency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Hands-on experience with Asana for project and task management
- Experience with GoHighLevel (or a comparable CRM/marketing automation platform)
- Exceptional written communication — you write clearly, warmly, and in a way that sounds like a real human
- High emotional intelligence and discretion; you handle sensitive information with care
- Proactive, not reactive — you flag problems before they become fires
- Comfortable working independently in a fully remote, async-first environment
- Strong attention to detail without losing sight of the big picture
Nice to Have
- Experience supporting a content creator, speaker, coach, or author
- Familiarity with podcast, course, or book launch logistics
- Background in digital marketing or social media operations
