Job Summary

The Sales Operations & Logistics Coordinator plays a key role in supporting the sales team while ensuring the smooth coordination of order fulfillment, inventory management, and logistics processes. This position bridges the gap between Supply Chain, Sales, 3PLs, and distribution functions to ensure timely delivery, accurate order processing, and a high level of customer satisfaction.


Sales Operations Support

  • Process sales orders accurately and efficiently in internal systems
  • Coordinate with the sales team to track order status, pricing, and customer requirements
  • Assist with contract management and pricing updates
  • Manage EDI (Electronic Data Interchange) transactions via SPS Commerce, including order intake, acknowledgments, and ASN (Advance Ship Notice) creation and submission
  • Oversee ASN accuracy and compliance, ensuring alignment with shipment details and retailer requirements
  • Track and report on key performance indicators (KPIs), including OTIF (On-Time In-Full), identifying trends and areas for improvement
  • Troubleshoot EDI errors and discrepancies, working directly with SPS Commerce and external EDI partners to resolve transmission, mapping, ASN validation, and data integrity issues


Logistics & Order Fulfillment

  • Coordinate shipment scheduling, tracking, and delivery with logistics partners
  • Ensure timely and cost-effective transportation of goods
  • Monitor inventory levels and collaborate with warehouse teams to prevent stockouts or overstocking
  • Assign and allocate inventory to purchase orders to ensure traceability and accurate order fulfillment
  • Support initiatives to improve OTIF performance through proactive planning, issue resolution, and cross-functional coordination
  • Handle returns, exchanges, and order discrepancies
  • Maintain documentation related to shipping, customs (if applicable), and compliance


Cross-Functional Coordination

  • Act as a liaison between sales, 3PLs, supply chain, and customer service teams
  • Communicate proactively regarding delays, issues, or changes in order status
  • Support process improvements to streamline operations, reduce costs, and improve service level KPIs


Customer Support

  • Respond to customer inquiries related to order status, delivery timelines, and product availability
  • Ensure a high level of customer satisfaction through clear and timely communication


Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field (or equivalent experience)
  • 2+ years of experience in sales operations, logistics, EDI coordination, or supply chain roles
  • Hands-on experience with SPS Commerce or similar EDI platforms
  • Working knowledge of EDI processes, transaction sets (e.g., 850, 855, 810, 856/ASN), and data mapping concepts
  • Experience managing and troubleshooting EDI transactions, including ASN processing and communication with SPS Commerce and external trading partners
  • Experience tracking and analyzing KPIs such as OTIF (On-Time In-Full) and driving performance improvements
  • Proficiency in CRM systems (e.g., Salesforce) and ERP systems (e.g., SAP, Oracle, NetSuite)
  • Strong organizational and multitasking skills
  • Excellent communication and problem-solving abilities
  • Proficiency in Microsoft Excel and data analysis
  • Fluency in Google Suite/Google Sheets, Slack.
  • Willingness to use phone calls collaborating with brokers and agencies 


Preferred Qualifications

  • Experience in a fast-paced or high-growth environment
  • Knowledge of shipping regulations and international logistics (if applicable)
  • Familiarity with inventory management systems and traceability practices (lot, batch, or serial tracking)
