We are looking for a motivated, responsible, & collaborative Administrative Assistant to join our Government Contracts & Services team on a part-time basis. This is a key position in the company and will involve assisting the Director of Government Contracts & Services, and Contracts Manager with the day-to-day support functions of the department, along with project-based tasks. To thrive in this role, you will need strong attention to detail coupled with interpersonal and organizational skills.

NOTE: This position will begin at 20 hours per week, Monday - Friday, 8am - 12pm EST. Depending on work volume there is the possibility for full-time. While it is 100% remote, for legal & tax purposes, you must be located in the US to be considered.

Job Responsibilities

  • Managing files related to requests for quotations from the beginning to the end of the process
  • Sending Freedom of Information requests for lost proposals
  • Coordination with the telephonic vendor to set up new client accounts
  • Send onboarding correspondence to new agencies
  • Manage and create folder structures to save and quickly process/access requests for quotations
  • Act as the point person when requesting quotation pricing from the CEO or other department heads
  • Collaborate with internal teams to research any requested necessary bid/ inquiry information to be submitted during the formal Q&A period
  • Assist the Director of Government Contracts & Services in putting together proposals
  • Special projects as needed/ assigned: updating contract trackers, outreach, spreadsheet updating for rates, etc.

Position Requirements

  • Minimum education required: Bachelor's Degree
  • 1-3 years in an Admin or support role preferred
  • Must possess strong business writing skills
  • Must be exceptionally organized
  • Must have outstanding time management skills and be deadline-conscious
  • Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint)
