Role Description

We are seeking a highly organized, proactive, and people-focused professional to serve as the Remote Office Manager & Events/Client Engagement Coordinator. This role blends virtual operational support, event and conference planning, and outreach to clients and prospects. The ideal candidate is a self-starter who thrives in a dynamic environment, communicates exceptionally well, has keen attention to detail, and enjoys balancing administrative, project, and relationship-focused work.



Key Responsibilities

Event & Conference Planning (30%)

  • Plan and execute in-person and virtual events, including conferences, client meetings, workshops, and internal gatherings.
  • Manage event logistics: venues, travel, registrations, catering, production, materials, and onsite support.
  • Coordinate with marketing vendors and partners to support event branding, collateral, promotional materials, and digital campaigns.
  • Develop timelines, track budgets, and handle vendor coordination.
  • Ensure strong alignment with company branding, messaging, and strategic goals.


Client & Prospect Outreach (30%)

  • Support outreach via email, phone, event invitations, and follow-up communications.
  • Engage with clients and prospects in a professional, welcoming manner.
  • Maintain and update CRM records and assist with nurturing campaigns.
  • Prepare materials such as presentations, meeting packets, and client-facing communications.
  • Collaborate with sales/marketing to strengthen engagement and relationship-building efforts.


Remote Office Management (40%)

  • Manage day-to-day virtual office operations to keep the company running smoothly.
  • Oversee digital tools, subscriptions, software accounts, and vendor relationships.
  • Support calendar coordination, scheduling, and internal communications.
  • Organize digital files, maintain documentation, and streamline remote workflows.
  • Assist leadership with administrative tasks, research, and special projects.
  • Coordinate shipping, logistics, and remote onboarding needs as required.


Qualifications

  • Strong Analytical Skills to evaluate client feedback, measure event success, and identify improvement opportunities
  • Program Management and Project Management skills for planning, executing, and monitoring events and engagement strategies
  • Exceptional Communication and Consulting abilities to build trust, connect with clients, and address their needs effectively
  • Demonstrated problem-solving skills and ability to work independently in a remote environment
  • Prior experience in event planning, client relationship management, or related fields
  • Proficiency in digital tools and platforms for managing events and client interactions
  • Bachelor's degree in Business, Marketing, Communication, or a related field is preferred
