UrbanPromise Charlotte takes youth on a 20 year leadership journey from ages 5 to 25 using the model of reach a child, raise a leader, restore community. Today, over 600 children, youth, and young adults between the ages of 5 and 25 participate in our continuum of Out of School Time, StreetLeader, and Alumni Support Programs at four neighborhood sites across Charlotte. We are seeking a detail oriented and mission driven Registrar to join our team remotely. In this role, you will manage all student enrollment, data tracking, and records for over 600 participants across our After School Program, StreetLeader Program, and Alumni Support Program. You will ensure that every child, youth, and young adult is properly registered, tracked, and supported throughout their 20 year journey with us. Your work will directly support our goal to reach a child, raise a leader, and restore community.
- Student Enrollment: Manage the annual enrollment process for all programs including After School (ages 5 to 13), StreetLeader (ages 14 to 18), and Alumni Support (ages 18 to 25). Process applications, verify eligibility, and maintain waitlists as needed.
- Data Management: Maintain accurate and confidential student records in our database system including contact information, emergency contacts, medical forms, attendance, grade levels, and program participation history.
- Registration Systems: Oversee online and paper registration for summer camp, afterschool, and special events. Coordinate with site coordinators at all four neighborhood locations.
- Compliance & Reporting: Ensure all required forms such as parent consents, medical releases, photo releases, and emergency contacts are collected and up to date. Generate reports for grant reporting, program evaluation, and leadership team requests.
- Family Communication: Serve as a primary point of contact for families during the registration process. Answer questions, provide assistance with forms, and ensure a welcoming and supportive experience.
- Collaboration with Program Teams: Work closely with the After School Program Manager, StreetLeader Program Manager, and Alumni Support Coordinator to confirm student rosters and track participation.
- Record Retention: Maintain organized digital files for current and past participants in compliance with organizational policies and privacy laws.
- 1+ years of experience in administrative, data entry, registration, or records management roles. Experience in nonprofit, education, or youth programs is strongly preferred.
- Proficiency with database management, spreadsheets (Google Sheets or Microsoft Excel), and online form tools such as Google Forms or JotForm.
- Exceptional attention to detail and organizational skills.
- Ability to handle confidential information with discretion and professionalism.
- Strong written and verbal communication skills. Ability to communicate compassionately with families from diverse backgrounds.
- Reliable high speed internet and a private, professional remote workspace.
- Availability during standard business hours with occasional evening or weekend hours during peak enrollment periods (late summer and early winter).

- Experience working with student information systems (SIS) or customer relationship management (CRM) software.
- Bilingual in Spanish and English.
- Experience working with youth, families, or community based organizations.
$42,000 – $82,000 per year, based on experience and qualifications.
