Russell Tobin is seeking a detail-oriented and proactive Recruiting Lead to support one of our innovative clients. This individual will be embedded within our client’s dynamic Talent Acquisition team and play a key role in delivering an exceptional candidate experience throughout all stages of the interview process.

As a Recruiting Lead, you’ll work closely with recruiters, hiring managers, and candidates to ensure smooth Hands-on recruiting, Stakeholder management, scheduling logistics, clear communication, and efficient coordination across multiple time zones and teams. You’ll thrive in a fast-paced environment where precision, professionalism, and adaptability are essential.


Key Responsibilities

  • Manage all aspects of the interview scheduling process across multiple departments and hiring levels (phone, virtual, and on-site).
  • Partner closely with recruiters and hiring managers to align schedules and logistics for candidates and interview teams.
  • Serve as the primary point of contact for candidates, ensuring timely communication, clarity, and a positive interview experience.
  • Coordinate travel arrangements and on-site interview logistics when applicable.
  • Maintain accurate records and data within applicant tracking systems (ATS) and internal tools.
  • Anticipate and resolve scheduling conflicts quickly and effectively.
  • Support onboarding coordination and pre-employment logistics as needed.
  • Collaborate with recruiting and operations teams to identify opportunities to streamline and improve scheduling processes.
  • Assist with ad hoc administrative and project-based tasks within the Talent Acquisition team.

Qualifications

  • 1+ year of experience in recruiting coordination, HR administration, or related operational support.
  • Bachelor’s degree or equivalent combination of education and experience.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Google Workspace, MS Office, and scheduling tools (e.g., Outlook, Calendly, Greenhouse, or similar ATS).
  • Professional, collaborative, and customer-service-oriented approach with a focus on maintaining confidentiality.
