The Recruitment Operations Coordinator oversees compliance and onboarding for all new hires across our dispensary locations. This role ensures that every employee has completed the required background checks, obtained state agent badges, and is prepared for their first day with all details finalized. By partnering closely with Talent Acquisition Coordinators, the Recruitment Operations Coordinator guarantees a smooth and compliant onboarding experience for all employees.


Essential Duties and Responsibilities:

  • Manage background checks, agent badge processing, and state compliance requirements.
  • Oversee collection and accuracy of pre-hire paperwork, including I-9s.
  • Implement and optimize ATS and/or HRIS workflows to reduce manual work and improve data integrity.
  • Develop dashboards and KPIs to measure onboarding efficiency, compliance completion, and candidate readiness.
  • Audit processes regularly to identify compliance gaps and propose proactive solutions.
  • Coordinate with hiring managers and Regional Coordinators to align start dates and communicate first-week schedules to new employees.
  • Maintain compliance dashboards and metrics, reporting to TA Leadership and SVP.
  • Support and promote diversity, equity, and inclusion (DEI) across all recruitment activities and leadership pipelines.
  • Attain or exceed the hiring performance indicators, including time to fill, candidate quality, retention rate, and others.
  • Ensure every candidate’s interaction reflects professionalism, inclusiveness, and alignment with company culture.
  • Support audit readiness by ensuring candidate files are complete and legally compliant.
  • Performs other duties as assigned


Qualifications:

  • 2–3 years of HR operations, recruiting coordination, or onboarding experience.
  • SHRM-CP, SHRM-SCP, or SHRM-CA certification (or similar) is a plus
  • Experience in cannabis retail or another regulated industry strongly preferred.
  • Proficiency with Applicant Tracking Systems (ATS), UKG preferred.
  • Demonstrated success using Boolean search, LinkedIn Recruiter, and other advanced sourcing tools to engage high-quality candidates.
  • Strong written and verbal communication skills, with the ability to engage senior-level stakeholders effectively.
  • Exceptional organizational and project management skills, capable of supporting multiple regions and up to 90+ retail locations simultaneously.
  • Ability to analyze recruiting metrics and reporting - using insights to inform continuous improvement.
  • Strong knowledge of state and local compliance considerations unique to cannabis retail (licensing, background checks, badging).
  • Commitment to maintaining confidentiality, professionalism, and a candidate-first mindset.
  • Strong knowledge of onboarding compliance (I-9, E-Verify, agent badges, background checks).
  • Ability to pass a background check
  • Ability to travel, as needed
