Job Description
The Remote Real Estate Lease Administration Manager (RELAM) will serve as the liaison between the Real Estate department, other department groups and clinical operators to collect and track key real estate and facility data. They will develop an in-depth knowledge of all clinic location-related activities, including acquisitions, new clinic development, and existing portfolio management. The RELAM will be communicative, detail-oriented, and have strong organizational skills. This position will work closely with the Real Estate, Market Expansion, and Construction and Facilities Departments to implement real estate portfolio and property management workflow processes

The Remote Real Estate Lease Administration Manager (RELAM) will serve as the liaison between the Real Estate department, other department groups and clinical operators to collect and track key real estate and facility data. They will develop an in-depth knowledge of all clinic location-related activities, including acquisitions, new clinic development, and existing portfolio management. The RELAM will be communicative, detail-oriented, and have strong organizational skills. This position will work closely with the Real Estate, Market Expansion, and Construction and Facilities Departments to implement real estate portfolio and property management workflow processes
Responsibilities
- Assist all levels of clinic operations with real estate inquiries, facility issues and act as liaison between internal and landlord parties.
- Manage landlord relationships via key data collection, maintenance of accurate rent payment documents and general day-to-day communication within real estate portfolio platform and internal databases.
- Develop workflow, process and best practices for all real estate portfolio and facility management programs to deliver concierge-level customer service to clinic teams.
- Responsible for the accurate and efficient completion of all real estate transactions, such as leases, renewal amendments, and Assignments of Lease while maintaining ongoing project health status.
- Responsible for communication and hand-off of real estate transactions to Construction and Market Expansion teams with ongoing key date management such as permitting, project start, rent commencement etc.
- Assist Real Estate Manager with management of real estate portfolio management platform via regular maintenance, reporting and general implementation needs.
- Organize and participate in regular departmental meetings collaborating with operational stakeholders.
- Produce lease abstracts, legal notices, presentation materials, status reports and ad hoc PowerPoints.
- Consistently project professionalism, confidence and leadership while working with any new Acquisition or Growth Project to include any communications, site visits, on-boarding and integrations and other required site visits.
- Route landlord/building notifications to the appropriate team or department in a timely manner.
- Monitor deadlines and critical dates to provide notices to appropriate parties when necessary.
- Participate in training sessions to improve skills with portfolio administrative tasks.
- Respond to ad hoc inquiries and help extract data to prepare reports.
- Perform other related duties as assigned.
- Adherence to compliance and completion of compliance training.
- Associates or Bachelor’s degree in Business, Administration, Finance or related field, or equivalent experience required.
- 4+ years in the commercial real estate industry, multi-state experience preferred
- Experience in healthcare business operations or management is a plus
- Sitting for extended periods
- Manual dexterity for typing and computer use
- Visual acuity for reading screens and documents
- Verbal communication via phone or in person
