ABOUT THE PROJECT MANAGER POSITION

Evolve Activation is an award-winning independent experiential marketing agency chosen by brands of all shapes, sizes and budgets. We provide strategy, creative, execution, event management and logistics services. We’re nimble and creative. We support hundreds of activations each year. Our mission is to create brand experiences that make people feel seen, valued, and connected. We work with forward-thinking marketing leaders who are looking for ways to reimagine how consumers interact with their brand. We work primarily with brands in entertainment, tech, and lifestyle.


Evolve Activation is looking for an experienced candidate with stellar planning, communication, and project management skills to join their team in the role of Project Manager. This role will serve as the end-to-end project steward, managing all aspects of project planning, communication, timelines, deliverables, and milestone management. This is a full-time role working 40 hours per week, with the opportunity for growth for the right individual.

Candidates must live in US time zones.

RESPONSIBILITIES

Project + Milestone Management

  • Collaborate with the Account Manager to establish and pre-plan client deliverables
  • Act as the project steward - manage deadlines, deliverables, and cadence of projects - from pre-planning through project closing and budget reconciliation
  • Own and manage project flow and cadence: drive process, ask questions, conduct check-ins, and analyze interdependencies to ensure timely and successful project completion
  • Monitor deliverable timelines and ongoing readiness of deliverables; adjust project plans based on project cadence, timelines and progress
  • Partner with the account and finance team to update, close and reconcile project budgets
  • Act as the owner/champion of milestone management; know what is coming, and how we are going to get there


Client + Team Communication

  • Manage client communication through project cycle; serve as a part of the Accounts Team, modeling a client service mindset that is committed to overdelivering on client expectations
  • Establish and manage cadence of feedback to and from client: updates related to deadlines, action steps, outstanding questions or needs from the team, and project progress
  • Create strong communication and cohesion between Evolve’s team so they are not working in silos
  • Coordinate and co-facilitate internal and external project meetings
  • Provide reporting updates for weekly internal meetings
  • Send updates; ensure items are being actioned forward, everyone is clear, and everything is assigned
