Accountabilities
80% Project Management: Drive the bus
- Manage projects from concept to completion; open project tickets, ensure work is properly scoped and estimated accurately, organize project kickoffs and internal reviews, work with required client and internal teams to develop project plans/workback schedules and securing, aligning, and confirming the right internal and external resources to deliver against agreed timelines and scope.
- Own and actively manage project progress, maintaining accountability for timelines, budgets, quality, and client satisfaction. This includes monitoring resourcing capacity and utilization, identifying risks or constraints early, adjusting priorities as needed, and escalating or resolving resourcing gaps to keep work moving efficiently.
- Maintaining transparent and ongoing communication of project status.
- Undertake and lead project retrospectives to ensure that final performance (i.e., timelines, profitability, quality, and results) and key learnings from projects are shared and understood by clients and internal colleagues alike.
- Champion and implement best practices, promoting innovative methods to optimize project execution.
- Review and proofread all production materials to confirm they meet standards and are error-free prior to client presentation.
- Review projects to ensure they are within project scope and assessing profitability for project stage (hours and gross margin).
Functional
- 3+ years of experience in project management roles with advertising agency experience being an asset.
- Experience in managing a variety of projects (large & small) from start to finish, including resource management.
- Demonstrated experience following project management best practices and methodologies, adept at identifying issues and problems, generating viable solutions, and selecting appropriate alternatives.
- Become a trusted support/advisor for your client(s) and colleagues.
- Exceptional time and team management skills.
- Understanding of marketing, sales, advertising, digital marketing and development an asset.
- Proficiency with MS Office applications & experience with project management tools (e.g.: Kantata OX).
- Specialized knowledge of web project management, including understanding of Jira & Confluence, is considered an asset.
- CLIENT INTIMATE: Customer centric attitude with a strong passion to do what it takes to grow client relationships, invest the time and effort to build equity and deliver value so as to become a trusted advisor.
- HUSTLE: Ability to think strategically and creatively, providing the client with a plan of action supported by new ideas or solutions that will help exceed client expectations and surpass internal goals. Create the great idea when they didn’t ask for it.
- TEAM PLAYER: Strong team leadership skills, supported by a team-first attitude, volunteering to take on new clients or help a team member in need. Adding to the well-being of the agency’s culture is also a priority.
- COMMUNICATION: Superb listening and communication skills. Listen to learn, assess what’s required, determine the necessary team and share the information they are required to know to build a solution the client approves of.
