About the Role

As a Project Coordinator your specific responsibilities may include: 

  • Support the planning, coordination, and execution of client projects, including meetings, events, publications, and digital initiatives
  • Assist with developing and maintaining project plans, timelines, budgets, action items, and project files
  • Support the preparation and management of project deliverables, including meeting materials and digital platforms
  • Communicate and liaise with vendor partners (e.g., printers, travel agency, AV companies)
  • Support timely, professional client communication related to project status and updates
  • Coordinate meeting and event logistics, including attendee management, attendee contracts, venue sourcing, registration tracking, and onsite or virtual logistics
  • Manage post-event Transfer of Value reporting
  • Maintain accurate project documentation, including contact reports, timelines, action items, and project records
  • Summarize project progress, key milestones, upcoming tasks, and follow-ups for internal teams and project leads
  • Support internal operations and administrative coordination to help ensure smooth day-to-day project workflows
  • Collaborate closely with cross-functional teams to support high-quality service delivery for clients and internal initiatives


What You Need to Succeed in This Role:

  • B.A/B.Sc
  • 1-2 years of experience in project coordination or related roles, preferably in the healthcare or pharmaceutical industry
  • Strong organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment
  • Excellent communication, interpersonal, and client-facing skills, with the ability to build rapport, communicate effectively, and collaborate with clients and internal teams
  • Proficiency in project management tools and software, Microsoft Office Suite, and virtual collaboration platforms
  • Willingness to adapt to changing priorities, work independently with minimal supervision, and contribute to a collaborative and results-oriented team environment
  • Working knowledge of using LLM-based AI tools, such as ChatGPT, with a firm understanding of their strengths and limitations for use in day-to-day tasks
  • Good decision-making and interpersonal skills
  • Must be based in Canada and legally authorized to work in Canada
