Role Summary
Upstaff Employment Services is seeking an experienced Project Coordinator — PM2 to support the Provincial Clinical Information Solution Program. The successful candidate will support the Transformation Management Office and assist with governance processes, program documentation, stakeholder coordination, reporting cycles, project schedules, risk and issue tracking, and resource-related reporting for the Symbio Clinical Information Solution Program.
The Project Coordinator will work closely with the Transformation Management Office, Program Director, clinical team leads, project managers, governance bodies, working groups, committees, and other program stakeholders. The role will help ensure standardized governance processes, tools, and documentation are consistently followed across all program workstreams.
Mandatory Requirements
M1 — Education and Professional Background
The candidate must have post-secondary education in a health-related field, such as health sciences, health informatics, public health, or a related discipline. Consideration may also be given to candidates with equivalent training and relevant experience supporting Clinical Information System projects or digital health programs.

The candidate must have 2+ years of demonstrated experience in a project coordination or project support role, supporting project documentation, stakeholder/group coordination, and reporting within a complex program environment.
Related Duties
The candidate will be responsible for:
- Drafting, maintaining, and version-controlling project documentation, including Terms of Reference, standard operating procedures, meeting materials, meeting minutes, workflows, and templates.
- Supporting governance compliance by ensuring standardized processes, tools, and documentation are applied across working groups and committees.
- Coordinating stakeholder groups, working groups, committees, and cross-functional teams.
- Scheduling meetings, preparing agendas, distributing materials, and documenting meeting outcomes.
- Maintaining membership and participation tracking for governance groups.
- Updating distribution lists, governance documentation, and system access records.
- Maintaining decision, action, issue, risk, and dependency logs.
- Tracking assigned follow-ups through to closure.
- Supporting regular and ad-hoc governance and program reporting.
- Maintaining trackers, preparing summary tables or charts, performing basic trend or variance analysis, supporting KPI/RAG dashboards, and preparing weekly or monthly status reports.
The candidate must have a minimum of two years of experience in a project coordination role supporting project planning and schedule management in a complex program environment.

- Tracking milestones, deliverables, timelines, dependencies, and forecast dates.

- Producing schedule and status outputs for stakeholders.
- Supporting milestone dashboards, look-ahead plans, critical path highlights, and variance explanations.
- Ensuring schedule information is accurate, timely, and aligned with program governance and reporting needs.
S1 — Project Planning, Coordination, and Delivery Support
The candidate must have 1–2 years of demonstrated experience supporting project planning, coordination, and delivery activities in a healthcare or similarly complex environment.

- Coordinating project tasks, timelines, deliverables, and stakeholder inputs.
- Preparing project materials, templates, status updates, and working group documentation.
- Working with multidisciplinary teams, including Business Analysts, stakeholders, clinical leads, operational leads, executive staff, and project teams.
- Supporting standardized project workflows, documentation practices, and reporting processes.
- Assisting with coordination activities in a technology-enabled, clinical, or complex program setting.
- Helping ensure project activities remain aligned with program objectives and governance expectations.
The candidate must have 1–2 years of demonstrated experience in a project coordination or project support role within clinical or health service transformation projects or other complex programs.

- Drafting, maintaining, and version-controlling Terms of Reference, meeting minutes, standard operating procedures, workflows, templates, and trackers.
- Coordinating recurring and ad-hoc meetings, including scheduling, agenda preparation, materials distribution, and follow-up tracking.
- Documenting meeting outcomes, actions, decisions, risks, issues, dependencies, and follow-ups.
- Supporting stakeholder engagement logistics, including maintaining distribution lists and membership or participation tracking.
- Coordinating stakeholder inputs and managing follow-ups across working groups and committees.
- Contributing to regular reporting and basic data analysis.
- Maintaining trackers, performing trend or variance analysis, producing summary tables or charts, creating KPI/RAG dashboards, and preparing weekly or monthly status reports.
- Using tools such as Microsoft Office 365, Teams, Zoom, JIRA, Confluence, shared drives, and email distribution lists to support coordination and reporting.
The candidate must have 1–2 years of experience in a project coordination role with a strong focus on project schedule management in a large or complex organization.

- Onboarding and offboarding coordination records

- Schedule updates, milestone tracking, and status reporting outputs
- KPI/RAG dashboards and summary reporting materials
- Financial, resource, compensation, and utilization reporting support
