About the Role

We're hiring an Operations Manager to lead our Ops team, the people who keep Melanin Money running behind the scenes. This is first and foremost a people-leadership role. You'll manage, develop, and advocate for a team of three, set the standard for how Ops shows up across the company, and be the senior operational partner to every department head.

The right person leads from a place of clarity and care. You'll set direction, hold the team to a high bar, and create the conditions for each person on your team to do their best work. You'll also represent Ops to the rest of the company by partnering with leaders across Sales, Marketing, Client Success, and Customer Service, and managing our most important external relationships.

Behind all of that, AI is a core part of how this team works. We work with AI as a teammate, not a side tool. Everyone on this team uses AI daily in order to move faster and stay sharp (Claude, ChatGPT, and the AI features built into HubSpot, ClickUp, Slack, Google Workspace, and our automation stack). And we expect our Ops Manager to champion that adoption across the team.

What You'll Do

Your week is a mix of team leadership (1:1s, coaching, performance), cross-functional partnership (department heads, agency, vendors), and strategic oversight (CRM, automation, AI adoption, operational initiatives). You'll set the rhythm for how Ops shows up across the company.


Lead and develop the team

  • Manage and develop the Ops team by running 1:1s, setting goals and KRAs, giving regular feedback, managing professional skill development, and leading performance reviews
  • Build a strong team culture: clear expectations, psychological safety, and a high standard for ownership and follow-through
  • Coach team members through stretch work and identify development opportunities aligned with company needs
  • Hold lane discipline — clear ownership, escalation paths, and SLAs across the team
  • Drive hiring decisions for future Ops roles as the team grows

Partner across the company

  • Serve as the senior Ops partner to department heads across Sales, Marketing, Client Success, and Customer Service
  • Own our external agency relationships at the strategic level (scope, escalations, and quarterly check-ins)
  • Manage the tech stack and vendor relationships, including renewals and contract terms
  • Represent Ops in leadership forums and cross-team meetings

Hold strategic oversight

  • Partner with the Chief of Staff on quarterly planning, priorities, and roadmap sequencing
  • Maintain the Ops Department's source of truth for priorities and progress
  • Hold strategic oversight of CRM, automation, and systems work. The team owns execution; you ensure it ladders to the right outcomes
  • Sponsor major operational initiatives across the company (e.g., Sales pipeline weighting, App buildout and rollout, client health scoring)
  • Champion AI adoption across the team. Partner with the Systems & Automations Specialist on where AI tooling can replace manual work, and hold the team accountable for using AI in their day-to-day to stay efficient with a lean headcount

Own reporting and metrics oversight

  • Hold final oversight of reporting infrastructure across HubSpot. Sales pipeline dashboards, Client Success and retention reporting, Marketing acquisition and funnel metrics, and Operations system health (automation success rates, integration uptime, data hygiene). The team builds and maintains the dashboards; you own whether they're surfacing the right metrics to the right people.
  • Partner with department heads (Sales, Marketing, Client Success, Customer Service) to ensure their teams are entering data correctly and consistently through pipeline stages, deal properties, lifecycle stages, contact records. Inaccurate inputs upstream become broken reporting downstream, and you hold the line on that.
  • Set the rhythm for how reporting gets reviewed. Monthly scorecard reviews with department heads, quarterly health checks, and the cadence for surfacing red flags to the Chief of Staff before they become problems.


What We're Looking For

Required

  • 5+ years in operations, with at least 2–3 years directly managing a team
  • Demonstrated track record of developing direct reports (promoting team members, navigating performance conversations and conflicts, and building high-trust teams)
  • HubSpot Professional or Enterprise experience as an admin or senior power user
  • Experience managing cross-functional partnerships and external agency or vendor relationships at a senior level
  • Strong written communication and documentation discipline. Comfortable producing SOPs, scopes of work, and decision memos
  • Evidence-driven and impact-first orientation. Ability to deprioritize low-leverage work without losing the team
  • Fluent and active user of AI tools (Claude, ChatGPT, or comparable) in your own daily workflow. Comfortable using AI to draft documentation, accelerate analysis, troubleshoot systems, and reduce the time spent on repeatable cognitive work. Familiarity with AI features inside HubSpot is a plus

Nice to have

  • Experience with ClickUp, Zapier, n8n, or comparable workflow/automation tools
  • Experience in financial services, coaching, education, or another recurring-revenue or cohort-based business
  • Familiarity with live event operations
  • Experience at a sub-100 person company
  • Experience leading a team through AI adoption. Setting expectations, building shared prompts or workflows, and identifying where automation or AI can offset headcount needs

What Success In This Role Looks Like

  • Your three direct reports are growing — each has a clear development plan, regular feedback, and visible progress against their goals. People want to stay on this team.
  • Department heads (Sales, Marketing, Client Success, Customer Service) trust Ops as their senior partner — escalations land with you cleanly and you resolve them without churn.
  • Any Agency relationships are well-managed at the strategic level — scope, escalations, and quarterly check-ins are owned, not reactive.
  • The Ops team is shipping the right things, in the right order. Quarterly priorities are clear, sequenced, and tracked, and the team isn't absorbing low-leverage work that should be deprioritized.
  • Major operational initiatives (Wealth Weekend, ClickUp rollout, client health scoring, and similar) have an accountable sponsor and visible progress.
  • AI adoption is visibly increasing across the team — there's a documented baseline, at least one or two team-level workflow improvements have shipped, and AI leverage is a recurring topic in 1:1s and team retros.
  • Tech stack and vendor relationships are managed proactively — renewals, contract terms, and escalations don't surprise leadership.
  • You're operating as a true partner to the Chief of Staff — not a task-taker, but someone who shapes priorities and brings forward proposals on what the Ops function should focus on next.
  • Reporting is trusted across the company. Department heads, leadership, and the Ops team operate from the same accurate dashboards. When numbers are questioned, the answer is in a HubSpot Dashboard.
