We are hiring an Operations Associate to join our team. This is a fully remote role and a great opportunity to work with multiple clients and a great team!


Responsibilities:

  • Be responsible for organizing and executing the entire scheduling and operational portion of the recruiting process for multiple clients simultaneously
  • Communicate with the recruiting team, clients, and COO to schedule internal and external meetings
  • Facilitate gathering feedback from clients
  • Attend weekly client meetings as the company’s operations representative (gather interview feedback / next steps information, and follow-up on need-to-know details for daily logistics
  • Participate in weekly meetings with our CEO and client managers to give updates on progress for all assigned clients and general internal workflows
  • Monitor both our internal tracking system, Monday.com, and any systems our clients use
  • Actively check/monitor multiple client-facing email addresses to ensure that all communication is addressed in a timely manner, and escalate any necessary emails to management
  • Maintain all job posting boards to ensure they’re up-to-date
  • Work with HR department to train new employees on the operations process as needed
  • Analyze internal systems and process, bringing new ideas to optimize workflow to the COO
  • Accurately track billable hours using time trackers
  • Learn the back end of our internal system, Monday.com in order to be able to set up automations, trouble shoot time tracker visibility, create new client boards, and improve daily process
  • Take on additional projects as needed


Desired Qualifications:

  • 3+ years of operations/administrative experience
  • Strong written and verbal communication skills, direct customer experience is a plus
  • Ability to multitask and quickly analyze daily activity in order to prioritize and accurately manage time in a fast-paced/fast-changing workflow environment
  • Ability to rapidly learn and implement new systems and processes, executing them with precision
  • Proven ability to track, organize, and manage data and workflows
  • Heightened attention to detail
  • Ability to work effectively in a remote capacity
  • Experience using Gmail and Outlook email and calendar systems
  • Experience with Monday.com and/or ATS Systems is a plus
