About The Better Information ProjectWe are hiring for an Operations and Project Manager to join The Better Information Project (TBIP), a new and ambitious team within the Meliore Foundation. TBIP’s mission is to create an enabling environment where healthier information ecosystems can thrive. By pushing for the enforcement of regulations to address systemic harms caused by today’s largest technology platforms, and by fostering viable alternatives, these initiatives work to reshape the digital sphere to better serve people, democracy, and the planet .
How you'll contribute
Operations Management (50%)
Serve as a primary point of contact for all operational and administrative needs across the programme, including:
- Acting as the central point of contact for team members and external partners on day-to-day operational questions and processes.
- Coordinating with the Grants & Contracts and Finance teams to organise contracts, invoices, and grants with suppliers and partners and ensure payments are processed appropriately;
- Initiate and track programme legal needs, requests, and reporting processes.
- Support recruitment efforts by assisting with scheduling, onboarding logistics, and coordination with the Global P&C team. Lead the onboarding processes for new team members, creating and maintaining onboarding documents.
- Maintain and optimise team internal systems for file and document storage
- Support fundraising processes including impact tracking and regular funder updates, proposal writing, developing programmatic case studies, and preparing funder reports.
Provide flexible project management support across initiatives, including:
- Coordinate external-facing activities such as events, workshops, publications, stunts, and campaign launches – overseeing planning, logistics, and execution from start to finish.
- Act as a liaison between project teams and external stakeholders – convening groups, facilitating co-development processes, and managing coalitions or sign-on initiatives.
- Track expenditures in line with project budgets.
- Maintain a high-level overview of internal team objectives, activities, deadlines, and project progress across workstreams. Facilitate weekly project check-ins, follow up on outputs, and ensure timely delivery, collaboration, and information-sharing.
- Evaluate and refine project management tools and processes to improve coordination, efficiency, and clarity across the team.
- Plan and organise team-wide activities including the annual retreat, coworking days, and strategy meetings in collaboration with the Chief of Staff.
- Strong track record in operations and/or project management, preferably in a fast-paced, multi-stakeholder environment.
- Strong organisational and coordination skills, with the ability to manage multiple priorities, track details, and ensure follow-through across a wide range of operational and project tasks.
- A proactive, solutions-oriented mindset, able to take initiative, anticipate needs, and adapt in a dynamic environment.
- Experience supporting teams with day-to-day operations, including managing contracts, invoices, onboarding, and team systems.
- Experience coordinating and executing events, workshops, or collaborative processes (such as coalitions), both in-person and virtually.
- A genuine interest in - and ideally some exposure to - issues at the intersection of technology, society, and democracy.
- Fluency in English is required; additional European languages are an asset.
