ABOUT THE ROLE
Hotel Lobby Candle is a fast-growing startup in the home and personal fragrance industry seeking a Operations & Fulfillment Manager to own the systems, platforms, and logistics that power our business across every sales channel—DTC, Amazon, wholesale, and retail.
Reporting directly to the co-founder, this role is the operational backbone of the company. You will manage end-to-end fulfillment from the moment an order is placed to the moment it arrives at a customer’s door. You will also own our Shopify storefront—building products, managing apps, and maintaining the digital infrastructure that drives our online business.
The ideal candidate is analytical, detail-obsessed, and tech-savvy, with deep experience in e-commerce operations, 3PL management, and multi-channel fulfillment. For the right person, the opportunity for growth, to take on new projects, and to manage up is significant.
CORE RESPONSIBILITIES
Multi-Channel Fulfillment & 3PL Operations
• Manage day-to-day order flow across all channels (Shopify DTC, wholesale, and retail), flagging orders that require special attention and coordinating with our third-party warehouse (3PL) to ensure timely, accurate fulfillment.
• Serve as the primary point of contact for our 3PL partner, maintaining strong communication and resolving fulfillment issues proactively through their proprietary software.
• Oversee fulfillment for wholesale and retail orders, coordinating with the Customer Service & Wholesale Support Manager on order timing, priority, and special requirements.
• Coordinate LTL and FTL freight shipments with logistics vendors for wholesale and retail account deliveries.
• Process all Advanced Shipment Notices (ASNs) by coordinating with suppliers, the 3PL, and retail partners.
• Review monthly 3PL billing for accuracy, track credits owed, and flag discrepancies.
• Audit tracking information on a regular cadence to identify lost or delayed shipments and resolve issues per company policy.
• Support internal teams with sample shipments and ad-hoc order-related requests.
Amazon Operations Support
• Support the Head of Growth on Amazon backend operations, including inventory feeds, inbound shipment coordination, and fulfillment logistics (FBA and/or FBM).
• Flag Amazon inventory needs, track stock levels, and coordinate replenishment shipments to Amazon fulfillment centers, ensuring proper labeling, packaging, and shipment plan compliance.
Shopify & E-Commerce Platform Management
• Own the Shopify Plus storefront end-to-end, including product setup, SKU management, collections, and site content.
• Set up new products and SKUs in Shopify, generate GS1 barcodes, and maintain accurate product data across all channels.
• Build and manage product pages, landing pages, and collections for new launches in collaboration with marketing and creative teams.
• Own website content updates including shipping policy, FAQ, promotional banners, and seasonal pages.
• Manage the Shop sales channel and related promotional programs.
• Administer, optimize, and troubleshoot third-party Shopify apps and integrations (Loop Returns, Recharge Subscriptions, Appstle Loyalty, Rebuy, Gorgias, etc.).
• Stay current on Shopify Plus platform updates; work with the Shopify Plus support team to implement enhancements that improve UX and drive conversion.
• Evaluate and recommend new tools, apps, and technologies to improve site performance, customer experience, and operational efficiency.
Inventory Management
• Manage inventory levels across all channels (Shopify, Amazon, 3PL, wholesale) to prevent overselling and stockouts.
Analytics, Reporting & Optimization
• Track and report on key e-commerce and fulfillment metrics including conversion rate, average order value, shipping costs, and fulfillment speed.
• Report on promotion and launch performance across all channels to the co-founder.
• Analyze fulfillment data to identify cost savings, speed improvements, and service-level opportunities.
Process Improvement & Team Development
• Document and maintain standard operating procedures (SOPs) for all fulfillment, e-commerce, and inventory workflows.
• Identify inefficiencies across systems and processes and proactively implement improvements.
• Lead QA on new product launches to ensure all backend configurations (pricing, inventory, shipping rules, app settings) are correct before go-live across all channels.
• Over time, assist in hiring and training additional operations team members as the company scales.

QUALIFICATIONS
Required
• 3+ years of operations experience at a product-focused, direct-to-consumer brand.
• Hands-on experience with multi-channel fulfillment, including DTC, Amazon (FBA/FBM), and wholesale.
• Proficiency with Shopify and/or Shopify Plus, including product setup, collections, apps, themes, and basic site management.
• Hands-on experience managing third-party logistics (3PL) relationships and warehouse software.
• Familiarity with Amazon Seller Central, including inbound shipment workflows and inventory management.
• Experience processing EDI orders via SPS Commerce (ASNs, invoices, purchase orders), and onboarding of new trading partners.
• Analytical mindset with the ability to interpret e-commerce and fulfillment data and translate it into actionable recommendations.
• Excellent organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
• Strong written and verbal communication skills.
• Bachelor’s degree or equivalent professional experience.
• Comfort working outside standard business hours, including 1–2 hours on weekends as needed.
Preferred
• Experience with GS1 barcode generation and product data management.
• Familiarity with Klaviyo, Figma, Replo, or similar marketing and design tools.
• Experience with Loop Returns, Rebuy, Recharge Subscriptions, and Appstle Loyalty.
• Prior startup experience with a demonstrated ability to wear multiple hats.
• Experience with Slack and Asana for team collaboration and project management.

TRAVEL
Occasional travel may be required to visit our 3PL warehouse, Amazon fulfillment centers, manufacturing partners, or attend team meetings as needed.
COMPENSATION & BENEFITS
• Salary range: $75,000–$90,000 annually, commensurate with experience.
• Hybrid/remote work flexibility, with occasional in-person requirements.

• Retirement benefits after six months of employment.
There will be a six-month evaluation period to ensure mutual fit. References will be required in later rounds of the interview process.
