Role Description
The Operations and Client Experience Coordinator is a part-time remote role responsible for ensuring a seamless client experience and effective event execution. You will manage client communications, oversee logistics for live events, and coordinate with our team of poets and writers to deliver exceptional results. Daily tasks include scheduling, providing event updates to clients, addressing inquiries, and ensuring high levels of customer satisfaction and operational efficiency. What you'll do
You'll be the first point of contact for clients, coordinating everything that keeps Poesy running beautifully day to day.
- Respond to inbound inquiries, take client calls, and send booking confirmations
- Coordinate poets, venues, and logistics for events and workshops
- Manage typewriter transport and inventory
- Attend events and workshops on-site to ensure everything looks and feels like Poesy
- Schedule and monitor social media content
- Track invoices, follow up on payments, and maintain financial records

Experience and education
- 1 to 2 years of experience in event coordination, operations, marketing, or a related field — internships and contract work count
- Experience working with or for a brand, agency, or creative company is a strong asset
- Comfortable managing multiple priorities and communicating with clients professionally
- Strong skills in Customer Satisfaction and Customer Service, with a demonstrated ability to ensure exceptional guest experiences.
- Familiarity with social media scheduling tools and basic invoicing or expense tracking
- Post-secondary education in journalism, marketing, communications, events, business, or a related field is preferred but not required — we care more about who you are and what you've done than where you studied
- A genuine interest in literary culture, writing, or the arts is a bonus
- Experience in customer-facing roles or in the literary, creative, or events industry is a plus.
