The New Home Listings Coordinator is responsible for the accuracy, consistency, and performance of all home and community listings across MLS platforms, the company website, and internal systems. This role supports sales teams and agents by ensuring listings are current, compliant, visually compelling, and strategically released in alignment with sales leadership.

Sales & Agent Support
- Serve as the primary MLS resource for internal sales teams and agents
- Support agents with listing questions, changes, and compliance guidance
- Coordinate listing releases and timing with Sales Managers
- Ensure listing status changes align with sales activity and availability
- Create, publish, and maintain all MLS listings across assigned regions
- Ensure accuracy of:
- Pricing
- Home status (active, pending, sold, withdrawn)
- Descriptions, features, and specs
- Photography and virtual tours
- Ensure all listings comply with:
- MLS rules and regional requirements
- Fair Housing laws
- Brokerage and company policies
- Manage all home and community listings on the company website
- Ensure website listings:
- Match MLS data exactly (price, status, availability)
- Use current photography and descriptions
- Reflect accurate inventory and move-in readiness
- Proactively identify and resolve MLS ↔ website mismatches
- Maintain accurate listing data and workflows within HubSpot
- Audit listings regularly to ensure:
- Correct status and pricing
- Proper lifecycle stage alignment
- Clean handoff between marketing, sales, and operations
- Flag and correct data inconsistencies that impact reporting or sales workflows
- Use photography tracker to ensure all homes have current, approved assets
- Coordinate updates for new photography when needed
- Size, organize, and virtually stage new home photography
- Ensure photography is consistently updated across:
- MLS
- Website
- Internal systems
- Coordinate cleaning and landscape maintenance for unsold completed specs
- Schedule and manage vendors to ensure homes remain show-ready
- Track maintenance needs and follow up to completion
- Communicate readiness issues to sales and leadership as needed
- Track listing performance metrics including:
- Days on market
- Listing views and engagement (where available)
- Time from release to contract
- Provide regular reporting or insights to sales and marketing leadership
- Identify trends or risks that could impact sales or buyer experience
- Exceptional attention to detail – accuracy is non-negotiable
- Strong process discipline – follows workflows, checklists, and audits
- Clear, proactive communication – especially with sales managers
- Systems thinker – understands how MLS, website, and CRM connect
- Experience with new home construction or builder environments preferred
- Familiarity with HubSpot or CRM data hygiene preferred
- Comfort managing multiple regions and timelines simultaneously
