The Medical Affairs Coordinator plays a vital role in supporting the daily operational function of the Medical Affairs department, as well as assisting with inter and intradepartmental collaborations. They function to orchestrate and oversee an organized and streamlined system for providing clinical information and support from the department to internal and external stakeholders. This role will also serve to assist with post-market surveillance and safety by compiling information regarding customer satisfaction and clinical performance of Thorne products.
RESPONSIBILITIES
- Independently oversees the process of streamlining and organizing questions and requests directed to the Medical Affairs department from internal and external stakeholders.
- Independently makes decisions on a discretionary basis regarding the maintenance and update of materials managed by Medical Affairs such as clinical knowledge articles, ingredient source documentation, and all other resources utilized to support interdepartmental collaborations and customers.
- Provides clear and professional responses based on organized and approved communications created by Medical Affairs, without direct oversight.
- Works collaboratively with the Medical Affairs Operations Supervisor in post market surveillance efforts and investigations, including but not limited to, the monthly, quarterly, and annual preparation of Adverse Event reports.
- Actively tracks and provides support for investigations related to post-market safety concerns, including those related to adverse events and customer complaints.
- Serves as the primary communication loop between Medical Affairs, Technical Operations, and Quality regarding customer feedback.
- Supports the Science and digital product teams in maintaining accurate and relevant information as offered to customers through Taia and the PHE offering.
- Supports and participates in group projects with the greater Medical, Clinical & Scientific Affairs team, as needed.
- Maintains a thorough knowledge of basic user functions utilized for the chat and email function of Salesforce and requests changes as needed in support of the Customer Service team or the customer directly.
- Actively and independently seeks information through established repositories, ETQ, and direct interaction with the department to provide in response to requests for information or guidance.
- Serves as a reliable and expedient point of information to support other Thorne departmental requests including, but not limited to, direct responses provided for use in Customer Service responses, social media, amazon responses, and international or domestic distributor support.
- Facilitates and guides the coordination with the Customer Service Representatives who interface with international or domestic distributors regarding requests directed to Medical Affairs.
- Leads the development of and delivery of training and educational resources on new and existing Thorne products and offerings for Customer Service and Marketing.
- Builds and maintains knowledge of Thorne product names and usage to ensure efficient and accurate support through Customer Service.
- Maintains knowledge of the applicable provisions of current Good Manufacturing Practices (cGMPs) and follows them. Remains knowledgeable on an ongoing and timely basis as changes in cGMPs occur.
- Knows and follows the Medical Affairs Department policies and procedures and Thorne Research policies and procedures as outlined in the Employee Handbook.
- Demonstrates the ability to accurately and efficiently complete tasks independently, as well as those assigned by management or Medical Affairs, with attention to detail, completing paperwork accurately, neatly and fully, and keeps management informed of project status.
- Gets along with co-workers and supervisors. Employee responds appropriately to criticism and instructions from supervisors. Employee follows the Standards of Conduct as outlined in the latest version of the Thorne Research Employee Handbook.
- Maintains a professional attitude when under stress, deadlines, or when dealing with any kind of problem, demonstrates good judgment and has a pleasant professional manner.
- Prioritizes work for the day (week) and follows through with that plan under minimal supervisior.
- Demonstrates initiative and job knowledge by suggesting ideas, discovering new and better ways of accomplishing goals and finds innovative, well thought-out solutions to problems.
- Performs additional Coordinator duties and responsibilities as assigned, in a competent and timely manner.
- Bachelor’s degree required with a focus in biological sciences preferred. A minimum of 2+ years’ experience is required.
- Employee has the ability to add, subtract, multiply, and divide in the units of measurement used in the Marketing Department, using whole numbers and decimals (for example, grams).
- Employee is able to effectively present information and respond to questions from groups of managers and convey understandable and concise messages.
- Employee has the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
