About the Position
We are seeking a Portfolio Operations Associate to own core trading, account operations, and compliance workflows that keep client portfolios running smoothly in a 100% remote role. You will be the central point for day‑to‑day operations, implementing trades, handling forms and money movement, coordinating with Schwab, and keeping our systems in sync while working directly with the firm’s lead advisor and CCO.
Initially the role is operations‑heavy (trading, compliance, back office) for the first 6 to 12 months, with potential to expand into financial planning support (plan prep, meeting assistance, projections) for candidates with interest and aptitude.
We’ll orient you to our specific workflows and models, but you must bring direct iRebal and Schwab experience and be able to operate independently within 30 to 60 days.
For the right person, there is a clear path to grow into a Director of Operations or COO role as the firm scales, with meaningful influence over how our operational infrastructure is built and improved.

Key Responsibilities
Trading & Investment Operations (50 to 60%)
- Execute model‑based and event‑driven trades across client accounts using iRebal (Schwab's rebalancing platform) as the primary tool.
- Monitor account drift, cash levels, contributions, withdrawals, and RMD needs; prepare and submit trades consistent with firm guidelines and established investment approach.
- Process IRA distributions, RMDs, contributions, rollovers, transfers, journals, and MoneyLink transactions, ensuring correct coding and documentation.
- Maintain and update model assignments, account restrictions and other trading settings in iRebal and our reporting systems.
- Liaise with our custodian (Charles Schwab) to resolve trade and account issues promptly.
Client Operations & Paperwork (25 to 30%)
- Prepare and process new account paperwork and transfer documentation, primarily through digital workflows on Schwab's platform.
- Set up new clients and accounts in Advyzon and Wealthbox, following defined onboarding checklists.
- Track the status of transfers and service items and proactively surface delays or issues to the team.
- Maintain clean, consistent client data across Schwab, Advyzon, Wealthbox, and our document storage.
Compliance & Internal Processes (15 to 20%)
- Complete scheduled compliance tasks within our compliance software (e.g., quarterly reviews, task checklists, documentation) under the direction of the Chief Compliance Officer.
- Assist with data gathering and documentation for required regulatory filings and internal reviews.
- Follow written procedures and contribute to improving and updating our operations manuals and checklists as processes evolve.
Qualifications
- Bachelor's degree in finance, business, economics, accounting, data/analytics, or a related field; or a strong track record in a comparable operations role.
- Experience in investment operations, brokerage/custodian operations, or RIA/wealth‑management support is strongly preferred.
- Direct hands-on experience with iRebal (Schwab's portfolio rebalancing platform) is required. You should be comfortable building and maintaining investment models, executing tax-aware rebalancing, managing household allocations, and troubleshooting drift/cash workflows with minimal supervision.
- Familiarity with Charles Schwab's advisor/custodial platform is essential.
- Experience with Advyzon for reporting and trading is a plus.
- Familiarity with Morningstar Direct for investment data and research is also a plus.
- Interest in financial planning and potential to support plan preparation in the future is a plus (e.g., familiarity with planning software like RightCapital, BNA Tax, or similar tools).
- Demonstrated strength with numbers, data accuracy and process execution.
- Comfortable working across multiple technology platforms (custodian portals, portfolio/reporting systems, CRM, spreadsheets).
- Organized, reliable, and able to manage multiple deadlines without dropping details.
- Clear written and verbal communication skills and a collaborative, low‑ego approach.
- Able to work independently in a remote environment with consistent availability during core business hours.
