Responsibilities
Responsibilities:
- Communicate internally and externally regarding orders and onsite white glove service needs.
- Coordinating domestic and international white glove services: interpreting job requests to align appropriate services, quote with multiple vendors, award, and oversee the successful completion of the job and adherence to Sprout values and processes by internal and external service providers.
- Ensure onsite contractors adhere to well-defined scopes of work and meet Sprout’s expectations for excellence.
- Work directly with onsite service providers, transportation partners (internal and external) and customers to collect & transport goods domestically and internationally.
- Proactively seek ways to improve customer experience and increase effectiveness of planning and work order execution.
- Plan and problem solve autonomously with a high sense of urgency.
- Creatively reduce costs by determining the most optimal service & transportation methods for jobs based on size, content, mode of transport, lane, price, and time sensitivity.
- Work cross-functionally with customer success, business development, and other internal logistics teams to deliver exceptional onsite white glove service and maintain a high degree of customer satisfaction and confidence.
- Learn and use various applications and web-based systems to facilitate shipments & reporting as needed.
- Maintain close communication with internal stakeholders regarding necessary planning for job execution and customer success.
- Troubleshoot logistics related issues with vendor service providers, internal sales team, and customers.
- Proactively monitor shipments for milestone checkpoints and coordinate with facilities, customers, and service providers to meet deadlines and avoid additional costs. Address delays both internally and externally as needed.
- Coordinate with Compliance Dept. to ensure standards and requirements for all shipment types are met.
- Organize, review, and manage documentation for department and company-wide recording needs, including filings, invoices, data entries, and other shipment-related documents.
- Daily invoice approval and reconciliation.
- Obtain, review, negotiate, and award quotes for onsite services and shipments of varying degrees of scope and scale.
- Ability to interpret Section XIV of MSDS files to determine required packaging, handling, and documentation requirements for hazardous shipments is preferred.
- Ability to work outside of normal business hours as needed.
- Other duties as assigned to support the department and organization.
Work Experience:
- Working knowledge of MS Office applications and proficiency with MS Excel.
- Willingness to learn new workflows and continuous training.
- DG/Hazardous material certification and/or willingness to become certified, specifically related to Lithium-Ion batteries and battery-containing equipment.
- Working knowledge of IT assets and/or high value asset protection & packaging and security methods required, with reverse logistics (ITAD) experience strongly preferred.
- Experience with transportation and/or onsite service negotiation for international logistics services (audit & reconciliation, safe packaging, loading, warehousing, temporary storage, transportation, etc.) is required.
- Experience with event logistics or other types of sensitive onsite services requiring a high degree of project planning and follow-up is strongly preferred.
- Working knowledge of transportation & onsite contractor insurance requirements and experience with submitting and following up on claims is required.
- Demonstrable experience & working knowledge of domestic and international logistics coordination, including how to work with and schedule services with vendors, evaluating labor hour requirements and determining appropriate rates to facilitate onsite service execution and job budgeting.
- Working knowledge of schedule B codes, the harmonized tariff system, and incoterms is preferred.
- Broad hands-on experience coordinating in varying international geographies and logistics service types is required.
- Experience with onsite inventory, audits, and reconciliation preferred
- Ability to multi-task and prioritize workload in a fast-paced and growing environment.
- Possess strong interpersonal skills with an ability to work independently or within a team environment.
- Must be able to work odd hours as needed to provide live oversight of project execution in EUMEA and APAC region.
