Role Overview
We are seeking a professional, highly organized, and client-focused Intake Coordinator to join our team. As the first point of contact for prospective clients, this role is integral to delivering a strong and supportive client experience while ensuring the accurate and efficient intake of new matters.
The successful candidate will demonstrate sound judgment, strong communication skills, and the ability to manage multiple priorities in a fast-paced legal environment.
This position offers the opportunity to work in a fast-growing, entrepreneurial legal environment where creativity, initiative, and adaptability are valued. Total Compensation: $45,000 to $55,000 (commensurate with experience).
Key Responsibilities
Client Communication and Intake
- Serve as the initial point of contact for prospective clients via telephone and email
- Communicate in a professional, composed, and empathetic manner
- Elicit relevant information through active listening and structured questioning
- Establish rapport and build trust with individuals who may be experiencing stress or uncertainty
Triage and File Routing
- Conduct intake assessments to identify key issues and urgency
- Exercise sound judgment in triaging inquiries and directing matters appropriately
Organization and Follow-Through
- Accurately record and maintain all intake information within the firm’s systems and processes
- Manage multiple active inquiries and ensure timely follow-up
- Coordinate and schedule consultations efficiently
- Maintain a high level of accuracy to ensure no inquiries or deadlines are missed
Qualifications
- Exceptional verbal and written communication skills
- Demonstrated ability to handle sensitive conversations with professionalism and discretion
- Strong organizational skills and attention to detail
- Ability to manage competing priorities and work effectively under time constraints
- Prior experience in a legal or professional services environment is preferred
