Influencer Coordinator with IRG Media

About Us

We’re an influencer marketing agency working with high-growth Travel, Wellness, Lifestyle, and Entertainment brands across the US, UK, and global markets.

Our campaigns are not talent-list dumps.

They are targeted, data-backed, and built for performance.

And none of that works without creator precision.

This role exists at the intersection of sales, execution, and influencer systems.

The Role

Remote, EU / UK Preferred

£13,500 - £17,500 (DEO) + performance based growth potential

As an Influencer Coordinator, you are responsible for building and maintaining the creator supply engine that powers everything — discovery, CRM readiness, and brand-fit matchmaking.

You are not here to “add creators to a sheet.”

You are here to:

Curate high-converting creators

Keep the sales engine moving with clean, pitch-ready data

Build systems of scale for outreach and CRM

Why This Role Exists Now

As IRG scales delivery, our biggest bottleneck is no longer brand interest — it’s creator precision and system consistency.

We’re pitching the wrong creators too late.

We’re missing sales momentum because discovery and CRM aren’t moving fast enough.

And we’re wasting time chasing down missing data that should’ve been there from the start.

This role exists to solve that.

Right now:

Our sales team is generating qualified brand demand

Our campaigns team is ready to execute

But our creator pipeline needs to match that speed and quality

We don’t need more creators.

We need the right creators, in the right format, ready to pitch — before the brand even asks.

This role exists to build that supply engine — and keep it clean, fast, and focused.

Responsibilities / Ownership

1. Creator Discovery & Brand Fit Matching

You are responsible for ensuring we always have the right creators ready — before the brief even lands.

This includes:

Owning discovery across 2–4 brand briefs at once

Finding creators that match niche, demo, pricing, and platform fit

Stress-testing creator alignment against actual sales priorities

Prioritizing volume without sacrificing quality

Flagging gaps early so campaigns don’t get delayed

You are accountable for creator supply — not just in quantity, but in deal-readiness.

2. Outreach Execution & Creator Follow-Up

You are responsible for generating momentum with creators — and keeping it alive.

This includes:

Sending personalized outreach to 15-25+ creators/day using tools like Instantly

Maintain a 90% completion rate to follow ups within 48 hours of receiving it.

Establish a RR baseline and optimise RR accordingly

Reactivating past leads and pushing warm creators to pitch-ready

Tracking every contact thread clearly and tagging creators by response stage

Outreach is not “just sending emails.”

It’s your job to convert discovery into qualified supply.

3. CRM Accuracy & Pitch-Ready Data

You are responsible for keeping the database clean, up-to-date, and sales-usable.

This includes:

Ensuring 80–90% pitch-ready completeness across all entered creators

Logging key fields: Demo, Rates, Performance, Brand Tags, Format Fit

Removing duplicates and requalifying old contacts

If sales can’t use your CRM, it’s not a database — it’s dead weight.

You own keeping it alive.

4. Sales Collaboration & Creator Quality

You are responsible for ensuring sales has creators worth pitching.

This includes:

Flagging high-fit creators to sales before they’re asked for

Listening to sales feedback on what’s converting and adjusting accordingly

Tagging creators by brief relevance, platform format, and pricing logic

Treating the roster like a deal pipeline — not just a directory

You are not in sales.

But sales wins because your work is usable, timely, and strategic.

5. System Hygiene & Process Improvement

You are responsible for your own workflow and the systems that support it.

This includes:

Updating ClickUp tasks daily, with no overdue discovery or CRM actions

Monitoring VA-led discovery and enforcing quality benchmarks

Surface risks early: e.g. “we don’t have enough creators with US women 25+”

Suggesting ways to improve tracking, outreach, or CRM processes

If the same problem happens twice — discovery, CRM, or outreach — the process is broken.

You are expected to fix it or flag it with solutions.

Success in This Role Looks Like

Within 30 days:

You own the discovery system for 2+ briefs

You understand brand fit logic without asking every time

You consistently update the Influencer CRM / Nertwork before 9AM daily

Within 90 days:

Sales is closing deals from your creators

You are pitching creators to sales team before sales even asks

No duplicate entries, no messy CRM, no forgotten leads

Within 6–12 months:

You manage multiple discovery workflows across team members (ICs/VAs)

You’re improving brand approval rate of creators directly sourced by you

You’re a key part of why campaigns get delivered on time and on target

You’ll Thrive in This Role If…

You’re obsessed with systems and details

You care about who gets pitched and why

You want to see your work directly fuel revenue

You follow through — always

You’re fast, focused, and you never leave CRM work for “later”

You’ll Struggle in This Role If…

You’re disorganized or slow with updates

You think “discovery” means copying someone else’s list

You need constant handholding

You avoid ownership under pressure
