About The Role

The HR Specialist at CIAT plays a vital role in supporting the company's human resources functions, ensuring seamless operations across various HR domains including benefits administration, leave management, payroll processing, and compliance. This position serves as a subject matter expert in benefits, leaves, and HR operations, providing guidance and support to employees and management alike. The HR Specialist is responsible for maintaining data accuracy, ensuring adherence to federal, state, and local employment laws, and promoting a high-quality employee experience. This role involves collaborating with multiple stakeholders, managing sensitive information with confidentiality, and continuously improving HR processes to meet organizational goals. The position is remote, offering flexibility while requiring a proactive approach to managing HR functions efficiently and effectively.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field (HR certifications preferred)
  • 2-3 years of progressive experience in Human Resources, demonstrating expertise in at least two core HR functions
  • Experience with HRIS systems such as Paylocity and/or Employee Navigator is a plus
  • Proficient knowledge of human resource practices and understanding of employment laws at federal, state, and local levels
  • Strong written and verbal communication skills
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Self-motivated with a strong work ethic and high ethical standards
  • Demonstrated ability to handle sensitive information with confidentiality
  • Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint, MS Project)
  • Flexibility to adapt to changing priorities and work outside normal hours if necessary

Responsibilities

  • Implement and improve onboarding processes to enhance new hire experience and ensure compliance
  • Coordinate start dates and onboarding logistics with candidates and hiring managers
  • Prepare, review, and process new hire documentation including I-9s, background checks, transcripts, and certifications
  • Evaluate background check results, identify discrepancies, and coordinate follow-up actions
  • Conduct new hire orientations as needed
  • Serve as the primary contact for employee and management benefits inquiries
  • Process benefit enrollments, life events, terminations, and system updates within HRIS and vendor platforms
  • Track benefit enrollments, audit deductions, reconcile invoices, and resolve payroll or carrier discrepancies
  • Collaborate with benefits vendors to resolve issues and facilitate smooth administration
  • Support annual open enrollment activities, including communications and system updates
  • Monitor employee satisfaction with benefits and recommend improvements
  • Ensure compliance with ERISA, ACA, COBRA, HIPAA, and applicable regulations
  • Support employee engagement initiatives such as wellness programs and team-building events
  • Oversee timekeeping systems to ensure accurate recording of hours and compliance with labor laws
  • Review employee timecards for accuracy and policy adherence, coordinating approvals and corrections
  • Monitor and track paid time off and leave balances
  • Prepare and audit payroll data, including hours, bonuses, deductions, and final payments
  • Serve as the main point of contact for payroll-related employee inquiries
  • Manage leave requests including FMLA, ADA, PDL, workers' compensation, and accommodations
  • Track leave usage and maintain accurate records in HR systems
  • Partner with payroll to ensure accurate compensation and deductions during leave periods
  • Maintain confidential medical and leave documentation
  • Support managers throughout employee leave processes and ensure compliance with leave regulations
  • Maintain accurate and compliant HR records, ensuring data integrity and confidentiality
  • Generate HR reports and respond to employment verifications and internal inquiries
  • Manage employee exit processes, including final pay, benefits communication, and exit data analysis
  • Coordinate and track performance reviews to ensure timely completion
  • Monitor training certifications and assist with scheduling training sessions
  • Analyze HR metrics to support strategic initiatives related to engagement and retention
  • Assist with special HR projects and initiatives as assigned
  • Promote employee participation in HR programs, embodying company culture and professionalism
  • Ensure compliance with all organizational policies, federal, state, and accreditation standards
