Isleño Island Homes buys, refurbishes and sells ready-to-move-in flats for remote-working entrepreneurs. We are Operating now in Mallorca and in Menorca, with the Objective to Scale to 20 Remote- Work Locations worldwide.
But first, we must perfect the model - creating a stable, documented, and data-driven machine that is *ready* to be scaled.
- We take ordinary apartments and turn them into functional, boho-Scandi homes.
- We run standardized refurb concepts with clear economics per project.
We are now building a company that runs on clear processes, clean numbers and disciplined execution.
Your mission as Head of Operations (Systems Architect) is to:
- Turn our current way of working into a documented, repeatable, data-driven machine.
- Map the core flow – buy → finance → refurb → stage → sell → cash-in.
- Build the playbook (“The Isleño Way”) and the dashboards that prove it works.
This is a builder role, not a caretaker role.
This is a hands-on expert role focused on building and stabilizing the machine.
- Systems & Process Architecture (≈70%)
- You design, document and build our core processes and tools
- (monday.com, finance/admin flows, core SOPs, automations).
- Data, Scorecard & Operating Rhythm (≈30%)
- You build the Single Source of Truth for how the machine performs
- and you help the leadership team make decisions based on facts.
You are not expected to be the public face of the business.
You do not manage the entire leadership team.
Your value is in structure, order, logic and data – with a small, clearly defined leadership scope in Operations/Finance/Process (Ops, Process Excellence, Coordination with Construction, Status Quo 2 Direct Reports).
You report directly to the CEO.
- The CEO defines the What → goals, vision, priorities, deals.
- You own the How → systems, process, and data that make those goals deliverable.
You are the voice of operational reality:
“Here is what actually happens, here is what breaks, here is what needs to change.”
You are the owner of “how we do the work”.
- Map the high-level workflows via business process mapping (Miro).
- Turn our real-world flows into usable, step-by-step SOPs.
- Translate funnels into workflow boards and tasks in monday.com.
- You know how to manage projects and teams inside a state-of-the-art task management tool and feel comfortable owning this.
- Translate repetitive workflows into n8n automations.
- You act as the project manager/product owner and write clear, world-class briefs for the tech team.
- Collaborate with the CFO and finance team to integrate Odoo and other tools with project budgets, payment flows and margin tracking.
When something breaks, you:
- Look at the process, not just the person.
- Trace the failure back to a specific step/rule/hand-off.
- Propose a permanent, system-level fix (change a step, owner, rule or tool).
- Implement it, update the documentation, and make sure the change is understood.
Your work is quiet, focused and concrete – and you see the impact in fewer problems and cleaner data.
A. Data, Dashboards & Financial Alignment
You are the link between Operations and Data.
You don’t need to be a data scientist, but you must be comfortable with:
- Spreadsheets (Google Sheets)
- Basic dashboard tools / reporting views
- Cleaning messy data so it can be trusted
- Our Operational Management System is the “Scaling Up” Methodology (Daily/Weekly/Monthly/Quarterly Meeting Structure)
- You are not responsible to run all the Meetings yourself- but you provide the Structure & Data to keep the Team accountable and on Track.
- Together with the CEO, you translate quarterly Rocks into 30-day goals and weekly sprints and make sure they are reflected in boards, tasks and the Scorecard.
You are not expected to be a stage performer or company cheerleader.
Your role is to bring clarity, structure and facts into the room so others can decide and act.
This role is designed for a specific type of operator.

- You are highly comfortable with spreadsheets, budgets and dashboards.
- You prefer facts over opinions and want the numbers to match reality.

- Interview: Instead of a classical interview, we run a real-world Operations Excellence challenge. Before the call, you’ll receive access to our real “Problems to Solutions / Blockers” board – a messy, live log of day-to-day issues in the company – plus a short written briefing. You’ll pick one blocker, spend up to 1–2 hours designing a solution (process + automation and/or a bulletproof SOP), and then use the interview to walk us through your work: how you understood the problem, how you mapped the process, which tools/automations (e.g. monday.com, n8n, Odoo, AI) you would use, and which concrete steps you’d take to fix it and make it scalable.
- You will receive the Brief automatically in the Interview Process after you finish the short Video. In the Brief you find also the Link to directly book your Interview in the Calendar of our CEO, Sebastian.
- Go / No-Go: we agree on the next Step for hiring and an eventual Paid Test Project.
