Position Overview:
The Controller oversees Viasox’s day-to-day financial operations, ensuring accuracy, compliance, and timely financial reporting. This role manages the full accounting cycle, owns internal controls, leads the month-end close process, and supports the Fractional CFO with high-quality financial information. The Controller guides the financial team (bookkeeper & analyst) while ensuring strong operational discipline and accounting integrity.
Key Responsibilities:
Financial operations Leadership:
- Own the month-end and year-end close calendar, ensuring all reconciliations, journal entries, and schedules are accurate and complete 5 business days for month-end close and 60 days for year-end close.
- Review the Finance team’s (e.g., Corporate Accountant, Bookkeeper, etc.) entries, schedules, and reconciliations for accuracy and documentation quality.
- Maintain accounting policies, SOPs, and internal controls on Google Drive.
Financial Reporting & Analysis:
- Prepare monthly financial statements with variance explanations for CFO and CEO review within 5 business days after month-end.
- Support budgeting and forecasting processes in collaboration with the Financial Analyst.
- Maintain audit-ready files and lead compliance activities on Google Drive.
Cash Flow & Treasury Oversight:
- Monitor working capital and cash flow trends weekly, escalating risks to the CFO.
- Oversee AP/AR governance to support liquidity and operational needs.
Compliance & Government Filings:
- Lead accurate and timely GST/HST, sales tax, royalty, and payroll remittance submissions.
- Manage CRA, WSIB, bank reviews, and other external audits.
Team Leadership:
- Provide coaching and support to the Finance Team.
- Foster a culture of accuracy, documentation, process improvement, and accountability.
Communication and Collaboration:
- Act as the primary financial liaison to executive leadership, department heads, and external stakeholders.
- Communicate financial insights clearly, translating accounting data into actionable business recommendations.
- Lead or mentor accounting staff to ensure strong technical development and consistent quality of work.
- Ensure alignment between finance operations and broader organizational initiatives.
Organization and Time Management:
- Maintain a clear monthly accounting calendar to track all filing deadlines, payroll dates, and reconciliation checkpoints in Asana.
- Prioritize tasks to meet CRA, WSIB, and internal reporting deadlines without backlog or missed entries.
Problem Solving and Initiative:
- Troubleshoots reconciliation or data discrepancies by cross-referencing accounting books, bank, and platform reports.
- Suggests process improvements or automation opportunities that reduce manual work or prevent errors.
- Implement efficiencies using automation tools (e.g., OCR invoice capture, bank feed rules, reconciliation workflows).
Adaptability and Continuous Learning:
- Maintain the CPA code of Professional Conduct in all financial matters.
- Stay current on evolving accounting regulations, tax requirements, and financial compliance standards.

Key Performance Indicators (KPIs):
- Month-end close cycle time of 5 business days.
- 100% of entries supported with audit-ready backup and/or working papers.
- GST/HST and Royalty Reports completed and filed before deadline.
- Respond to government and bank audit requests within 48 hours.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field
- 5–7+ years progressive accounting experience. Experience in E-commerce considered a strong asset.
- Strong technical knowledge of accrual accounting, reconciliations, and financial statements.
- Strong Excel skills
- Proficiency with QuickBooks Online (Plooto, Float, Fulfil, Xero, and Numeral is a bonus)
- CPA designation required.
- Thorough understanding of accounting principles and practices, including GAAP.
- Proficiency in financial analysis and forecasting techniques.
- Excellent communication and interpersonal skills, with the ability to effectively communicate financial information to non-financial stakeholders.
