Overview
Our client is seeking a highly responsive, organized, and resourceful Executive Assistant / Personal Assistant to support a senior executive across both professional and personal responsibilities. This is a unique opportunity to work closely with a dynamic leader involved in multiple business ventures, including advisory services and investment activities.
The ideal candidate will play a critical role in streamlining day-to-day operations, managing communications, and proactively identifying ways to improve efficiency. This position requires someone who thrives in a fast-paced environment with shifting priorities and understands the importance of responsiveness, professionalism, and discretion.
Responsibilities
- Manage and optimize a complex calendar, including scheduling, rescheduling, and prioritizing meetings
- Coordinate all travel logistics (flights, hotels, ground transportation), ensuring efficient and practical itineraries
- Act as a key point of contact for both internal and external communications, including clients and partners
- Monitor emails, texts, and calls - ensuring timely acknowledgment and clear follow-through on all requests
- Draft and send professional communications on behalf of the executive
- Track action items and ensure tasks are completed with clear timelines and accountability
- Assist with personal and family-related coordination (appointments, scheduling, logistics)
- Support expense tracking and organization across multiple entities (e.g., categorizing travel, business expenses, etc.)
- Help manage light financial administration such as bill payments or coordination with accountants
- Proactively identify ways to improve organization, efficiency, and overall workflow
- Provide support to both the executive and spouse as needed
Requirements
- Prior experience as an Executive Assistant or a Personal Assistant
- Exceptional responsiveness and reliability - ability to acknowledge and act on requests quickly
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent written and verbal communication skills - professional, polished, and client-facing
- Ability to operate with discretion and sound judgment
- Comfortable working and being successful in a less structured, entrepreneurial environment
- Familiarity with travel coordination, including domestic and international logistics
- Basic understanding of expense tracking and administrative financial tasks
- Tech-savvy and comfortable managing communication across email, text, and phone
- Adaptable, proactive, and solutions-oriented mindset
