About The Role

Ragan Communications is seeking an exceptional Executive Assistant to serve as a strategic partner to the CEO and the executive leadership team. This is a high-impact, full-time remote position based in the New York City metro area. The successful candidate will act as a trusted thought partner, managing complex schedules, facilitating communication, and supporting strategic initiatives. The role requires a proactive, detail-oriented professional who can anticipate needs, exercise sound judgment, and enable the CEO to focus on high-level priorities. This position offers a unique opportunity to work closely with a nationally recognized CEO, influencing the effectiveness of a fast-growing media and learning organization. The Executive Assistant will play a critical role in ensuring seamless operations, managing external engagements, and supporting executive decision-making processes.

Qualifications

  • 7+ years of experience supporting a CEO, founder, or senior executive
  • Experience in media, professional services, consulting, technology, or related industries preferred
  • Bachelor’s degree required
  • Exceptional judgment and emotional intelligence
  • Strong written and verbal communication skills
  • Advanced calendar and priority management skills
  • High discretion and confidentiality
  • Proactive, anticipatory mindset
  • Ability to meet in person in NYC or CT at least once a month; willingness to travel 3-4 times per year
  • Polished, confident, and professional demeanor

Responsibilities

  • Serve as a trusted strategic partner and operational extension of the CEO, anticipating priorities and proactively surfacing risks and opportunities
  • Manage the CEO’s calendar end-to-end, prioritizing meetings and designing daily, weekly, and monthly rhythms to optimize effectiveness
  • Gatekeep meeting requests and flow, exercising strong judgment to ensure high-value activities
  • Coordinate agendas, prepare materials, and follow up on action items for executive meetings and leadership sessions
  • Manage travel logistics, itineraries, and preparation materials for trips, conferences, and speaking engagements
  • Support external engagements, including partner meetings and industry events, to maximize relationship ROI
  • Assist with strategic initiatives, special projects, and cross-functional initiatives requiring confidentiality and discretion
  • Maintain executive dashboards, tracking systems, and workflows to monitor progress and deadlines
  • Support the cadence of leadership meetings, capturing ideas, organizing notes, and tracking decisions and follow-through
  • Coordinate executive offsites, planning sessions, and strategic retreats
