About The Role
We are seeking a highly organized and proactive Executive Assistant to support our Chief Commercial Officer. The successful candidate will play a critical role in ensuring the smooth operation of executive functions by managing complex calendars, coordinating travel arrangements, preparing meeting materials, and handling confidential communications. This position requires a detail-oriented professional with excellent communication skills, capable of working independently and collaboratively in a fast-paced, dynamic environment. The Executive Assistant will also be responsible for supporting various projects and initiatives, liaising with internal teams and external partners, and ensuring administrative efficiency across the leadership team. Qualifications
- Bachelor’s degree from an accredited institution
- 5-7 years of executive assistant experience, preferably supporting senior management
- Experience in calendar management, meeting organization, and travel coordination
- Proficiency with MS Teams, MS Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and DocuSign
- Exceptional written and verbal communication skills
- Strong organizational skills with the ability to prioritize multiple tasks
- Proactive, self-starter with problem-solving capabilities
- High level of discretion and confidentiality handling sensitive information
- Ability to work independently and collaboratively in a fast-paced environment
- Excellent interpersonal skills and attention to detail
Preferred qualifications include supporting management in a start-up or biotech environment, and experience supporting management-level personnel for over three years.
Responsibilities
- Provide comprehensive administrative support to members of the leadership team, including calendar management and scheduling
- Prioritize and organize meetings, including reserving venues and handling logistics for offsite events
- Coordinate travel arrangements, including flights, accommodations, and ground transportation
- Prepare and submit expense reports in compliance with company policies
- Manage and track legal and vendor agreements, ensuring timely routing, signatures, and document storage
- Maintain organized and up-to-date internal filing systems and document repositories
- Assist in developing support materials such as presentations, slide decks, and meeting agendas
- Support the onboarding process for new hires, ensuring a smooth integration experience
- Coordinate and facilitate special projects and initiatives as directed by senior leadership
- Assist with purchase order submissions and ensure appropriate approvals are obtained
- Educate team members on company policies, including expense limits and travel caps
- Handle confidential information with discretion and professionalism
- Perform additional duties as assigned to support organizational efficiency
