About the Opportunity:
This organization provides advanced cardiac health solutions accessible worldwide. The Executive Assistant role supports the Chief Financial Officer, acting as a strategic advisor and operational partner to enhance organizational impact beyond traditional administrative tasks.
Responsibilities:
• Serve as a trusted partner to the CFO and Finance Leadership Team, managing priorities and aligning calendars with strategic milestones.
• Anticipate needs and proactively resolve issues to keep leaders ahead of commitments.
• Prepare executive-level materials, presentations, talking points, Board decks, and communications that clarify business priorities.
• Track deliverables end-to-end with business leaders to ensure accountability and momentum.
• Draft and edit correspondence and internal communications reflecting leadership voice.
• Represent executives professionally and discreetly in all interactions.
• Maintain clear communication channels between leadership and teams for transparency and trust.
• Manage complex calendars, travel, and event logistics focusing on prioritization and efficiency.
• Plan and execute meetings, off-sites, and team events with strong meeting hygiene.
• Utilize tools such as Teams Planner, SAP Concur, Workday, and AI assistants to streamline tasks.
• Identify and implement process improvements to enhance efficiency and reduce administrative friction.
• Provide light project coordination for executive initiatives by tracking milestones and action items.
• Translate priorities into simple plans and tracking, monitor progress, and flag risks for informed decisions.
• Build trusted relationships across the organization to facilitate collaboration and information flow.
• Partner with other Executive Assistants to establish standards, share best practices, and coordinate support.
• Act as a connector across teams to align execution with enterprise goals and leadership priorities.
• Contribute to the evolution of the EA Center of Excellence by standardizing templates, tools, and playbooks.
• Lead or participate in community initiatives such as AI enablement and event standardization.
• Demonstrate adaptability, curiosity, and professional growth to develop future strategic Executive Assistants.
Requirements:
• Minimum 8 years supporting senior executives in dynamic, growth-oriented environments (public company or scale-up preferred).
• Proven discretion, foresight, and judgment in high-visibility or confidential settings.
• Bachelor’s degree preferred or equivalent professional experience.
• Strategic mindset with ability to connect details to strategy and anticipate needs.
• Operational mastery in managing calendars, deliverables, and meeting hygiene; project management experience preferred.
• Excellent written communication skills representing leadership voice effectively.
• Ability to multitask and meet deadlines under pressure.
• Strong relationship-building skills across all organizational levels.
• Advanced digital proficiency with Microsoft Office, Teams, SharePoint, SAP Concur, and AI tools like Copilot.
• Integrity and discretion in handling sensitive information.
Compensation:
• Estimated pay range $103,000.00 to $134,000.00.
• Actual compensation varies based on knowledge, skills, experience, and work location.
