About The Role

We are seeking a highly organized and proactive remote Part-Time Executive Assistant to join our expanding team. This role is pivotal in supporting our clients' executive teams by managing their administrative and operational needs efficiently. Reporting directly to the Manager of the executive assistant team, the successful candidate will be responsible for handling a variety of tasks that facilitate smooth business operations. The position offers flexibility, starting at over 20 hours per week, with the potential to grow into a full-time role as you demonstrate your capabilities. This is an excellent opportunity for individuals based in Florida, Georgia, Maine, Ohio, or Texas who are eager to contribute to a fast-paced, remote work environment and develop their skills in executive support, client relations, and organizational management.

Qualifications

  • Minimum of 4 years of experience in an administrative role supporting senior management
  • Experience providing support in the real estate industry
  • Prior experience supporting brokers or high-level executives
  • Exceptional written and verbal communication skills
  • Strong time-management and organizational skills capable of managing multiple projects simultaneously
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other productivity tools
  • Ability to quickly learn new software and systems
  • Flexible team player with a proactive attitude and problem-solving mindset
  • Discretion and ability to maintain confidentiality across multiple client accounts
  • Prompt, reliable, and self-motivated with a professional demeanor
  • Availability to assist with urgent requests as needed

Responsibilities

  • Assist clients with their daily administrative and personal needs as directed
  • Maintain and improve client relations through effective communication and support
  • Manage complex scheduling, including calendar coordination and content flow for senior executives
  • Coordinate travel arrangements, including hotel bookings, transportation, and meal planning for clients
  • Perform administrative tasks such as typing, dictation, creating spreadsheets, faxing, and maintaining filing systems and contact databases
  • Handle client communications professionally, including answering phones and relaying messages promptly
  • Organize and plan client events, meetings, and appointments
  • Track detailed records in timekeeping and project management systems
  • Respond to all client requests within a maximum of four business hours
  • Navigate competing priorities while multi-tasking efficiently
  • Support internal process development and documentation as needed
  • Assist with other tasks and special projects as assigned by management
