About The Role
The Executive Assistant for Image Guided Therapy Devices based in Plymouth, MN, will play a crucial role in supporting senior leadership within the organization. The successful candidate will be responsible for coordinating meetings, managing schedules, handling confidential information, and supporting strategic projects. The Executive Assistant will serve as a key point of contact for internal and external stakeholders, ensuring seamless communication and efficient workflow management. Qualifications
- Associate’s degree required; Bachelor’s degree in a related field preferred
- Minimum of 5+ years of experience as an Executive or Management Assistant in a fast-paced, international environment
- Exceptional verbal and written communication skills in English
- Strong proficiency in Outlook calendar and email management
- Proven ability to prioritize tasks effectively under pressure
- Experience in managing confidential information with discretion
- Excellent organizational and planning skills
- Ability to work independently and as part of a team
- Experience coordinating meetings, including logistics for off-sites, customer visits, and leadership meetings
- Familiarity with budget management, purchase order tracking, and expense reporting
- Demonstrated proactive attitude and problem-solving skills
- Availability to work in the Plymouth, MN office at least 3 days per week
- Flexibility to adapt to fluctuating workloads and deadlines
- Support one or more executives by handling complex administrative and operational tasks
- Coordinate and organize leadership meetings, including logistics for off-site events, customer visits, and internal sessions
- Assist in preparing materials and agendas for Ultrasound Services and Enterprise Champion business meetings
- Manage budget tracking, purchase orders, and expense reports using Concur
- Handle travel arrangements, including booking flights, accommodations, and transportation
- Maintain and update calendars, ensuring optimal scheduling and conflict resolution
- Communicate effectively with the Services Leadership team and global stakeholders
- Track important deadlines and follow up on action items to ensure timely completion
- Work closely with the Remote-Digital Services Enterprise Leadership team to coordinate meetings and communications
- Exercise discretion and confidentiality in handling sensitive information
- Support strategic projects and initiatives as assigned by leadership
- Build and maintain strong professional relationships across various levels of the organization
- Competitive hourly pay ranging from $39 to $62 per hour
