Qualifications
- 5+ years of experience as an Executive Assistant supporting C-level executives, preferably within a public biotech or pharmaceutical company.
- Proven ability to manage complex, high-volume calendars and multi-leg international travel logistics.
- Exceptional written and verbal communication skills with high emotional intelligence.
- Proficiency in Google Workspace, Microsoft Office Suite, and advanced productivity tools, including large language models (LLMs).
- Ability to remain calm, adaptable, and effective under pressure in a fast-paced environment.
- Strong discretion and professionalism in handling confidential information.
- Flexibility to support occasional work outside standard hours as needed.
- Manage and prioritize the CEO’s complex calendar, including scheduling meetings, resolving conflicts, and allocating time for strategic deep work.
- Coordinate comprehensive international and domestic travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Act as a primary gatekeeper and point of contact for internal and external communications, ensuring the CEO’s focus remains on high-impact priorities.
- Prepare, edit, and review communications, presentations, and briefing materials for board meetings, investor relations, and public speaking engagements.
- Organize logistics for Board of Directors and investor meetings, including scheduling across multiple time zones, managing virtual or physical venues, and distributing materials in advance.
- Handle day-to-day administrative tasks with high accuracy, including expense reporting, document management, and meeting logistics.
- Anticipate the needs of the CEO and handle sensitive, confidential information with discretion and professionalism.
