About the Role:

A fast-growing, forward-thinking company is looking for a highly skilled Executive Assistant to support a senior executive and their team. This role is essential in ensuring seamless daily operations, enabling leadership to focus on strategic objectives. The ideal candidate is exceptionally organized, professional, proactive, and thrives in a high-speed, ever-evolving environment.


Key Responsibilities:

  • Represent the executive with polished and professional written and verbal communication—internally and externally—with the utmost discretion and integrity.
  • Manage and organize complex calendars, respond promptly to scheduling requests, and coordinate with other senior leaders and Executive Assistants to align schedules efficiently.
  • Coordinate logistics for meetings and events, including booking conference space, arranging catering, and partnering with the internal events team for large-scale gatherings.
  • Handle domestic and international travel arrangements, ensuring smooth execution of flights, accommodations, and ground logistics.
  • Prepare and process expense reports, and review others’ reports for compliance with travel and expense policies.
  • Support onboarding processes for new team members, ensuring they have all necessary setup, tools, and resources.
  • Act as a cultural ambassador, helping maintain a positive and productive team environment.
  • Partner with other Executive Assistants across the organization to provide coverage and shared support when needed.


Qualifications:

  • 5+ years of experience in an Executive Assistant role, preferably supporting C-level leadership.
  • Proven expertise in complex calendar management and travel coordination across multiple time zones.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Outstanding organizational and problem-solving skills, with the ability to manage multiple priorities with precision and efficiency.
  • High level of professionalism, with strong interpersonal communication skills and a collaborative mindset.
  • Ability to thrive in a dynamic environment and maintain composure while managing shifting priorities.
  • Demonstrated initiative in improving systems, workflows, and processes.
  • Ability to quickly understand team structure and build strong internal networks.

Compensation Note:

The compensation range for this U.S.-based position is an estimated $110,000 – $140,000 USD. Actual pay may vary depending on experience, skills, certifications, and location. A comprehensive Total Rewards package, including equity, is also offered. For candidates based outside of the U.S., a localized compensation range will be provided during the interview process.
