About The Role

We are seeking a highly organized, proactive, and strategic Executive Assistant to provide dedicated, top-tier administrative support to four key executives. This fully remote role requires managing complex calendars across multiple time zones, coordinating company events, and overseeing administrative operations to ensure seamless executive functioning. The ideal candidate will possess exceptional communication skills, supervisory experience, and the ability to serve as a critical organizational hub for the leadership team. This role also involves managing relationships with stakeholders, supporting high-priority projects, and coordinating logistics for board meetings and company events. Additionally, the Executive Assistant will oversee office operations in Denver and manage vendor relationships, ensuring operational efficiency and minimal distraction for executives.

Qualifications

  • Minimum of 5+ years of experience as a Senior Executive Assistant or in a similar administrative leadership role
  • Proven experience managing direct reports or operational oversight
  • Extensive experience in corporate event planning and logistics
  • Exceptional project management, organizational, and multitasking skills
  • Strong vendor management and negotiation abilities
  • Ability to handle highly sensitive and confidential information with integrity
  • Excellent communication and interpersonal skills
  • Proficiency with virtual collaboration tools and office management software
  • Ability to work independently in a fully remote environment and adapt to flexible schedules across time zones
  • Willingness to travel periodically to Denver and event locations as required

Responsibilities

  • Proactively manage and coordinate complex calendars across multiple time zones for four executives
  • Vet meeting requests, structure agendas, and ensure optimal use of executive time
  • Serve as the primary point of contact for high-priority correspondence and confidential communications
  • Prepare, submit, and reconcile expense reports and process invoices efficiently
  • Coordinate domestic and international travel logistics, including flights, accommodations, and itineraries
  • Provide ad hoc support for executive projects, research, and presentations as needed
  • Manage relationships with stakeholders through administrative duties such as gift coordination and key date tracking
  • Lead logistical planning for Board of Directors and committee meetings, including technology setup and invitations
  • Oversee planning and execution of company events, including vendor negotiations and budget management
  • Manage the company’s employee swag program from sourcing to fulfillment
  • Oversee office operations in Denver and Princeton, including budget management, vendor relations, and facilities oversight
  • Operate as the point of contact for co-working spaces and office management tasks
