2. About the Opportunity:
The Executive Assistant role provides comprehensive support to executives by managing administrative and operational tasks to enhance team productivity and efficiency. This remote position involves close collaboration with leadership to streamline processes and ensure organizational needs are met, making a direct impact on executive effectiveness and overall team function.
3. Responsibilities:
• Coordinate meetings, conference calls, web presentations, and travel schedules, resolving conflicts and planning at least three months ahead
• Manage executive travel including booking, monitoring transit status, calendar updates, and communication of delays
• Facilitate clear and concise internal and external communication, ensuring relevant stakeholders are informed
• Gather and distribute meeting materials to leaders at least 48 hours in advance
• Maintain and update executive contact databases, ensuring accuracy and completeness
• Provide executives with bios and photos of external leaders prior to first meetings
• Track executive relationships to suggest meetings during travel for relationship development and travel consolidation
• Offer executives time-management suggestions quarterly
• Support administrative projects such as IT audits and assessments
• Act as approving delegate for PTO and expense reports following executive guidelines
• Create draft presentations and documents aligned with organizational branding
• Use software tools for dashboards, mail merges, surveys, and document management as needed
• Organize and track executive deliverables, deadlines, and responsible parties, facilitating task completion
• Screen senior leaders’ emails, managing organization, prioritization, and responses related to scheduling
• Provide event support including materials preparation, coordination, budgeting, vendor research, and contract management
• Research and obtain approval for event and charitable contribution budgets, submitting for authorization before expenses
• Serve as first point of contact for IT issues, performing intermediate troubleshooting and escalating as necessary
• Collect and report on administrative changes affecting the team
4. Requirements:
• Experience supporting executives with complex schedules and travel coordination
• Strong organizational and communication skills
• Proficiency with Microsoft Outlook and related software tools
• Ability to handle confidential information with discretion
• Experience managing multiple projects and deadlines simultaneously
• Familiarity with expense and PTO approval systems (e.g., UltiPro, Concur) beneficial
• Ability to troubleshoot intermediate IT issues
5. Pay Range and Compensation Package:
• The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
