About The Role
We are seeking a highly organized, proactive, and personable Executive Assistant to support the Co-Founder & CEO of Veza. This role is vital in enhancing the executive’s productivity by managing complex schedules, coordinating high-level meetings, and handling sensitive information with discretion. As an integral part of our dynamic team, you will work closely with the executive to streamline operations, facilitate communication, and support strategic initiatives. The ideal candidate will possess a minimum of 10 years of executive administrative experience, particularly supporting founders or CEOs in fast-paced startup environments. This hybrid role offers flexibility, requiring occasional work outside regular hours, and involves coordinating domestic and international travel, organizing events, and managing confidential projects. Your contribution will directly impact the efficiency and effectiveness of our leadership team, supporting Veza’s rapid growth and innovative culture.

Qualifications
- BA/BS degree or equivalent professional experience
- Minimum of 10 years of executive administrative support experience, including at least 4 years supporting a Founder or CEO
- Proven experience supporting executives in early-stage startups and high-growth environments
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- High level of integrity, discretion, and confidentiality
- Ability to handle multiple priorities efficiently and effectively
- Proactive problem-solving and decision-making abilities
- Flexibility to work outside standard hours when necessary
- Experience coordinating complex domestic and international travel arrangements
- Ability to plan and execute high-profile events and meetings
- Excellent interpersonal skills and a collaborative mindset

- Comfortable working in a fast-paced, ever-changing environment
- Dependability and strong attendance record
- Provide comprehensive executive support to the Founder/CEO, including calendar management, email correspondence, and document preparation
- Manage and prioritize the CEO’s complex schedule, proactively resolving conflicts and anticipating scheduling needs across multiple time zones
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation
- Organize and facilitate high-level meetings, including board meetings, leadership offsites, and quarterly business reviews
- Handle confidential information with the utmost discretion and professionalism
- Draft, review, and manage correspondence, reports, and presentations
- Develop and execute projects aligned with the CEO’s strategic focus areas
- Act as a liaison between the CEO and internal/external stakeholders to ensure smooth communication and information flow
- Coordinate logistics for onsite and offsite events, including catering, venue arrangements, and technology setup
- Assist with special projects requiring independent initiative and problem-solving skills
- Manage multiple priorities efficiently, demonstrating flexibility and adaptability in a fast-paced environment
- Provide support to other executive assistants as needed to ensure team effectiveness
- Occasionally work outside standard hours to meet business needs
