The successful candidate will serve as a vital organizational resource, managing administrative tasks and facilitating smooth communication across various departments. This role involves supporting the Executive Vice President and three senior Business Development leaders, with additional support extended to other team members as needed. The ideal candidate will demonstrate exceptional organizational skills, resourcefulness, and discretion, ensuring that daily operations run efficiently in a fast-paced environment. Qualifications
- Minimum of 2+ years of experience in an administrative or executive support role
- Exceptional organizational and time management skills with strong attention to detail
- Proven ability to manage competing priorities effectively
- Excellent written and verbal communication skills
- High level of discretion, judgment, and integrity
- Proactive, resourceful, and solutions-oriented mindset
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
- Experience supporting multiple executives or a growing team is a strong plus
- NYC-based role requiring 5 days per week in-office presence
- Willingness to occasionally travel to the Asbury Park headquarters via company-provided shuttle
- Manage calendars for Business Development leaders, prioritizing high-impact meetings, client interactions, and internal alignment
- Act as a central point of coordination across the Business Development team and cross-functional partners, ensuring clear communication and follow-through
- Coordinate travel arrangements including flights, accommodations, and logistics aligned with team schedules and priorities
- Organize internal and external meetings, including client meetings and team sessions
- Track key documents, approvals, and signatures in partnership with internal teams such as legal, ensuring timely execution
- Provide administrative support for Business Development initiatives as needed
- Process expenses accurately and in a timely manner
- Oversee the day-to-day operations of the NYC office, including ordering supplies and maintaining office equipment
- Assist with additional tasks and priorities across the Business Development team as they arise
