The Role
ETC is seeking a highly organized, proactive, and dynamic individual to join our team as Executive Assistant to both the CEO and COO. This position will be responsible for organizing and supporting the daily activities of the executives, including inbox oversight, schedule management, and travel planning. The ideal candidate will have experience operating in a fast-paced, demanding environment and bring a high level of organization, professionalism, and energy. They will be adept at managing day-to-day functions and ensuring the seamless operation of executive priorities. This role will work closely with both the CEO and COO. The role requires a high level of dedication to managing, coordinating, and developing a deep understanding of their schedules, responsibilities, and priorities. The candidate must be open to travel.
Responsibilities
- Maintain the executive’s calendars: supporting daily task and outreach prioritization
- Assist with inbox management for the CEO, prioritizing critical communications and ensuring timely, professional correspondence both externally and across the organization
- Schedule meetings, set agendas, take notes, and support follow up
- Support drafting and follow-up of executive correspondence
- Maintain the executive’s address books and upload new contacts regularly to Outlook and the Firm’s CRM
- Support file organization and upkeep
- Coordinate travel arrangements and trip organization for the ETC executive team as needed, as well as the family
- Manage expense reporting
- Coordinate with IT support to resolve technical problems efficiently
- Assist in planning and organizing company events, meetings, and conferences
- Support the executives with personal matters as they arise
- Manage a variety of ad hoc personal tasks with discretion, efficiency, and diligence as needs arise
- Willingness and flexibility to travel
Qualifications
- 5+ years of professional experience
- Proficiency in Spanish a plus
- Highly organized and meticulous
- Exceptional written and verbal communication skills
- A cheerful outlook and growth mindset
- Demonstrates a hands-on, no-task-too-small-or-too-large approach, with a willingness to support wherever needed
- A history of success in cultivating strong internal and external relationships and collaborating cross-functionally
- Experience working in a demanding environment, maintaining composure and sound judgment under pressure.
- Strong technical capacity and experience working with the Microsoft Windows suite (Word, PowerPoint, Excel, Outlook)
- Discretion and confidentiality in handling sensitive information
- Bachelor’s degree from an accredited university
