About The Role

We are seeking an experienced and strategic Executive Assistant to support our CEO and CFO at our Atlanta office. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, capable of managing complex schedules, anticipating needs, and facilitating seamless communication between executive leadership and internal/external stakeholders. This role demands discretion, professionalism, and the ability to thrive in a fast-paced environment. The Executive Assistant will serve as a vital point of contact for executive operations, supporting a broad range of responsibilities from calendar management and travel arrangements to event planning and business support initiatives. The position offers an excellent opportunity to work closely with senior leadership, contribute to high-level strategic initiatives, and enhance operational efficiency across the organization.

Qualifications

  • Bachelor’s degree required
  • 4+ years of experience providing direct executive support to a CEO and supporting senior executives, including personal support responsibilities
  • Exceptional organizational, prioritization, and follow-through skills
  • Strong written and verbal communication abilities
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, and Word
  • Ability to adapt to changing priorities and handle ambiguity effectively
  • Flexibility to work outside regular business hours when necessary
  • Ability to work from the Atlanta office at least 4 days per week

Responsibilities

  • Manage and coordinate the calendars of the CEO and CFO, including scheduling, prioritizing, and resolving conflicts to optimize their time and commitments
  • Coordinate domestic and international travel logistics, including flights, accommodations, and ground transportation, ensuring seamless travel experiences
  • Prepare and assemble materials for high-level meetings, including agendas, presentations, and minutes, utilizing PowerPoint and business writing skills
  • Support the organization and logistics of key meetings, events, and conferences, ensuring smooth execution and follow-up
  • Track project progress, identify risks, and implement corrective actions to ensure timely completion of initiatives
  • Handle confidential information with the utmost discretion and maintain confidentiality at all times
  • Act as a liaison between executive leadership and internal/external stakeholders, building strong relationships and representing the CEO and CFO professionally
  • Perform tactical and personal support tasks such as managing errands, purchasing gifts, and coordinating office supplies and logistics
  • Provide day-to-day facilities and office support to maintain a welcoming and organized workplace environment
  • Assist with event planning, including high-level meetings, quarterly reviews, and company-wide events, managing logistics and materials
  • Attend meetings with the CEO and CFO to take notes, develop action plans, and ensure follow-up on assigned tasks
  • Support HR administrative duties as needed to enhance onboarding and employee engagement initiatives
