About The Role
The Executive Assistant will serve as a vital support partner to the Vice President of Research & Development (R&D) and the R&D leadership team. This role requires a highly organized, proactive individual capable of managing a wide range of administrative tasks with minimal supervision. The successful candidate will facilitate efficient daily operations by managing calendars, coordinating meetings, and handling correspondence. They will also support strategic initiatives such as budget planning, financial reporting, and special projects, contributing to the overall effectiveness of the R&D department. The role demands excellent communication skills, discretion, and the ability to work under pressure while maintaining professionalism. Qualifications
- Bachelor’s Degree or equivalent work experience
- Minimum of 10 years supporting executive-level professionals, preferably in a corporate or healthcare setting
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Experience with ERP systems (preferred) and modern conferencing technology
- Exceptional organizational and time management skills
- Strong interpersonal and communication skills, both written and oral
- Ability to handle confidential information with discretion
- Proactive approach to problem-solving and issue resolution
- Ability to prioritize multiple tasks and manage complex schedules
- Experience coordinating travel arrangements and supporting off-site meetings
- Partner with the Vice President of R&D and leadership team to optimize their time and productivity
- Manage complex calendars, schedule meetings, and coordinate logistics for internal and external engagements
- Prepare and distribute meeting materials, agendas, and follow-up documentation
- Support strategic initiatives including annual business and budget planning
- Assist in monthly and quarterly reporting for the department, including financial analysis and forecasting
- Coordinate travel arrangements, accommodations, and itineraries for leadership
- Handle correspondence and communication with internal teams and external partners
- Perform general administrative tasks such as database entry, expense reporting, and purchase requisitions
- Manage special projects as assigned, ensuring timely and accurate completion
- Proactively identify and resolve issues that impact departmental efficiency
- Competitive hourly pay rate ranging from $30.00 to $35.00, commensurate with experience and qualifications
