About The Role

We are seeking a highly organized and tech-savvy Executive Assistant to support our CEO. This role is vital in ensuring the smooth operation of executive functions and facilitating effective communication across the organization. The successful candidate will manage the CEO’s calendar, coordinate meetings and travel arrangements, prepare essential documents, and serve as a key point of contact between the CEO and internal/external stakeholders. This position offers an exciting opportunity to work closely with top leadership in a fast-paced, innovative company committed to making a positive impact on the environment. The ideal candidate will demonstrate exceptional organizational skills, discretion, and the ability to anticipate the needs of senior executives, contributing significantly to the company’s continued growth and success.

Qualifications

  • Proven experience as an executive assistant or in a similar supporting role for senior executives
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides)
  • Experience with CRM systems and project management tools such as Asana, Trello, or similar platforms
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High attention to detail and proactive problem-solving skills
  • Ability to work independently and collaboratively in a fast-paced environment
  • Discretion and confidentiality when handling sensitive information
  • Flexibility to work remotely and onsite as required

Responsibilities

  • Manage the CEO’s calendar, scheduling meetings, calls, and appointments with partners, clients, and team members
  • Prioritize and respond to emails and phone calls, ensuring urgent matters are addressed promptly
  • Assist in preparing presentations, reports, and other documentation for meetings and strategic initiatives
  • Organize and maintain digital and physical files, documents, and project timelines
  • Coordinate travel arrangements, including transportation, accommodations, and itineraries
  • Support the management of various software tools and platforms to streamline operations
  • Help create training materials and facilitate internal communications
  • Perform additional administrative duties as needed to support the CEO and leadership team
