About The Role
We are seeking a highly organized and proactive Executive Administrative Support professional to assist our Chief Executive Officer (CEO) and Chief Financial Officer (CFO). This role is integral to ensuring the smooth operation of executive functions and supporting strategic initiatives within the organization. In addition to providing high-level administrative assistance, the successful candidate will serve as a key project management partner to the Human Resources (HR) department, coordinating various HR-related projects and initiatives. The ideal candidate will possess exceptional communication skills, demonstrate discretion with sensitive information, and excel in managing complex schedules and priorities in a fast-paced environment. Qualifications
- Minimum of five years of executive-level administrative support experience
- Proven ability to manage multiple tasks and projects simultaneously from inception to completion
- Strong organizational and time management skills with exceptional attention to detail
- Excellent project management capabilities with experience coordinating with internal and external stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Teams
- Ability to handle confidential and sensitive information with discretion and professionalism
- Exceptional verbal and written communication skills
- Strong listening skills and the ability to communicate effectively with executive leadership
- Experience supporting HR projects and maintaining organizational resources is preferred
- Provide comprehensive administrative support to the CEO and CFO, including preparing correspondence, presentations, meeting materials, and minutes
- Coordinate all aspects of executive meetings, including scheduling, agenda development, and presentation preparation
- Manage daily schedules, travel arrangements, and expense reports for senior executives
- Oversee special projects, ensuring timely progress and completion, while maintaining clear communication with stakeholders
- Assist in preparing and distributing internal communications, reports, and organizational updates
- Serve as a project management partner to the HR department, supporting initiatives such as staff events, employee training, surveys, and compliance reporting
- Maintain and update organizational resources, including staff directories, organizational charts, and employee recognition lists
- Collaborate with HR to optimize and maintain the SharePoint site, ensuring resources are accurate and accessible
- Handle sensitive information with the utmost discretion and confidentiality at all times
- Support the organization’s strategic initiatives by managing projects and coordinating cross-departmental activities
