About The Role
The Executive Assistant plays a pivotal role in supporting the leadership and operational efficiency of Dogwood Alliance. This part-time, hourly position is designed to provide high-quality administrative and project management support to the Executive Director and the Board of Directors. The role involves managing complex schedules, coordinating organizational projects, and facilitating communication across teams. The Executive Assistant will also handle logistics for board meetings, retreats, and leadership activities, ensuring smooth execution and follow-through. The ideal candidate is highly organized, proactive, and dependable, capable of managing multiple priorities with minimal supervision. Qualifications
- 3-5 years of experience supporting senior leadership, operations, or project coordination roles
- Proficiency with Google Workspace or similar productivity tools, including calendar management
- Experience with expense tracking, reimbursements, and basic financial documentation
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent communication skills, both written and verbal
- Ability to troubleshoot basic technology issues and support virtual meetings
- Experience with CRM or donor management systems preferred
- Ability to work independently in a remote environment using tools such as Zoom, Slack, and Google Chat
- Flexibility to attend occasional weekend meetings and staff retreats in Asheville, NC
- Demonstrated professionalism and sound judgment in conflict resolution and stakeholder engagement

- Maintain consistent and professional communication with the Executive Director, managing their calendar and scheduling meetings with internal and external stakeholders
- Prioritize meeting requests and manage follow-up on action items and commitments
- Draft, review, and manage internal and external communications on behalf of the Executive Director
- Coordinate all travel arrangements, itineraries, expenses, and reimbursements for the Executive Director
- Ensure timely submission of expense reports, check requests, and credit card reconciliations
- Support project management initiatives led by the Executive Director, tracking timelines, deliverables, and next steps
- Maintain and update project management plans and systems for organizational initiatives
- Schedule and facilitate meetings and retreats for the Senior Management Team and Board of Directors
- Serve as the primary liaison to the Board of Directors, managing communication, scheduling, and technology support for meetings
- Prepare and distribute board agendas, materials, and maintain current and organized board portal content
- Take minutes during board and committee meetings as needed
- Coordinate logistics for bi-annual in-person and virtual board meetings
- Provide flexible surge capacity support to other teams during busy periods, as needed and in consultation with leadership
- Prorated personal days, totaling approximately 21 hours annually
- Flexible work schedule within the part-time, hourly framework
