We are seeking a highly experienced and detail-oriented Executive Assistant (EA) to support the three Partners of our family office across a diverse range of business and personal matters. This is a dynamic and fast-paced role requiring a highly organized, resourceful, and discreet individual who thrives on managing competing priorities and streamlining operations.
The role is approximately 70% business-related and 30% personal, and spans calendar management, travel coordination, document organization, research, communications, and ad hoc projects. The ideal candidate has excellent judgment, thrives under pressure, and brings a proactive, solutions-oriented mindset.
We are looking for someone who is fiercely independent, unflappable, and relentless in execution—someone who doesn’t take “no” for an answer, finds a way forward, and gets things done. You will serve as the right arm of our executives, anticipating needs, solving problems before they arise, and ensuring that nothing slips through the cracks. This role is for someone who operates with extreme ownership, precision, and professionalism at all times.
Qualifications
· Candidates must possess exceptional writing, communication, and organizational skills
· Self-motivated and resourceful, with the proven ability to multi-task and operate successfully with little or no supervision
· Impeccable organizational and written communication skills are paramount
· Expertise with Microsoft Office applications, particularly Excel, PowerPoint and Word
· Proven experience as an executive assistant or other relevant administrative support role
· Must be able to meet deadlines in a fast-paced, quickly changing environment
Responsibilities
The responsibilities will be split roughly 70% business and 30% personal assistant
Calendar and Travel
· Proactively manage partners’ calendars to ensure efficiency and help schedule internal and external meetings and calls
· Coordinate domestic and international travel arrangements and organize business trips
· Check in and send boarding passes to executives
· Research vaccine and visa travel requirements
· Submit visa applications on behalf of executives
· Schedule vaccine appointments for executives
· Keep track of executive locations
· Save down travel receipts onto online file management system
· Keep track of days in each country for tax reporting purposes
Email and mail
· Act as a gatekeeper, screening and prioritizing incoming calls, emails, and other communications, ensuring timely response and follow-up
· Keep the executives well informed of any upcoming commitments and follow up as appropriate
· Organize and distribute incoming mail on postscanmail.com
· Manage daily outgoing mail, arrange and track shipping and messenger services as appropriate
Expenses and Invoices
· Upload invoices to banking website for payment and save invoices to online file management system
· Maintain filing systems, databases, and records, ensuring accuracy and confidentiality
· Download and save down investment documents, invoices, proof of payment, organizational documents to Dropbox
Organizational
· Communicate and coordinate with company secretary to file business registrations in HK
· Keep company filings (certificate of incorporation, register of members, share certificate, register of directors) up to date as appropriate
Presentations and Research
· Prepare and edit correspondence, presentations, reports, and other confidential documents with a high level of accuracy and attention to detail
· Conduct research and compile information for various projects, presentations, and reports as requested
Other
· Fill out KYC documents on behalf of executives
· Book speaking events for executives
· Maintain conference calendar
· Plan art-related events and create invitations and place cards
· Special projects as needed
· Manage real estate portfolio and rentals by sending rental agreements and obtaining signatures
Personal
· Purchase gifts for family/friends on behalf of executives
· Book doctor appointments
